Administrative Officer, Patient and Public Involvement and Engagement
Deadline: 4 March 2025 – 5:00PM | Salary: £34,000 - £39,000 dependent on experience | Type: Full-time, Permanent | Location: Flexible. The primary base could be anywhere in the UK, but must be willing and able to travel to London and elsewhere (mainly the UK) in connection with the role.
Purpose of the Post
Working as part of the Legal, Trust and Ethics team, the Administrative Officer will be primarily responsible for overseeing the day-to-day operations of [Employer hidden — sign up to reveal]’s Public Advisory Board (PAB), which includes public members who provide advice and feedback on specific health data initiatives, research, and policy areas. The officer will handle logistics, communication, and administrative tasks to ensure the smooth functioning of the group. They will also take the lead in facilitating interaction between the PAB and [Employer hidden — sign up to reveal] staff as well as the wider research community.
Reporting to the PPIE manager, the successful candidate will work closely with the central PPIE team and colleagues across [Employer hidden — sign up to reveal] to deliver the 2024-2028 PPIE strategy. They will thrive in managing multiple activities within a fast-paced, dynamic organisation, playing a key role in promoting involvement and engagement of the public in [Employer hidden — sign up to reveal]’s work.

Key Responsibilities
- Meeting coordination and organisation: Scheduling, coordinating meeting agendas, sending out invites, distributing materials to group members, taking minutes, and following up on action items. This includes managing logistics such as arranging meeting venues, catering, and any necessary technology requirements.
- Recruitment and onboarding: Identifying and recruiting diverse patient and public representatives to join the advisory group, managing applications, providing necessary information, and offering training on the group’s function.
- Communication management and documentation: Maintaining communication channels with group members, including email updates, reminders, and surveys. Recording meeting minutes, distributing key information to members, and preparing reports that summarise discussions and recommendations. Acting as a liaison to ensure information flows between the advisory group and other departments or organisations.
- Data collection and analysis: Assisting with gathering feedback from group members and the other public members involved/engaged through surveys or public forums. Compiling data, summarising key insights, and preparing presentations or reports. Helping with outreach efforts to gather public input and ensuring diverse perspectives are considered.
- Additional support: Handling travel arrangements for public members working with the PPIE Central team, managing budgets and ensuring compliance with relevant policies and procedures. Acting as the point of contact for public members involved/engaged in [Employer hidden — sign up to reveal]’s work and other stakeholders to ensure the smooth coordination of activities. Work collaboratively as a team player, supporting colleagues in delivering the overarching strategy and mission.
Experience and Skills
- Strong organisation skills to manage multiple deadlines and tasks effectively.
- Excellent communication skills to clearly convey information to diverse group members and stakeholders, both verbally and in writing.
- Good facilitation skills to guide group discussions to ensure productive outcomes and diverse perspectives are heard.
- Understanding of good public involvement practices.
- Ability to work independently, managing multiple priorities effectively in a fast-paced environment.
- Ability to remain flexible and responsive to evolving priorities and emerging needs within a fast-paced environment.
