Purpose of the post
The Business Support Administrator is a key member of the BHF team, providing dedicated professional and proactive diary management and administrative support to the Director of the Centre and the wider team as and when required.
Main responsibilities
- Diary and email management: Manage diary of the BHF Data Science Centre Director; manage and monitor the Director's email inbox; highlight urgent and business critical emails.
- Administrative and finance support: Format letters, emails; support invoicing and expenses; process Director's expenses and reconcile credit card expenditure; provide cover during absences; general administrative support.
- Travel and event planning: Manage logistics for Director's travel (flights, trains, accommodation); compile itineraries; coordinate team meetings and events.
- Ensure quality: Improve internal ways of working; treat all information confidentially.
Experience/Skills
Essential:
- Significant experience in a similar role with diary management and administrative responsibilities
- Experience working with senior level stakeholders
- Excellent attention to detail, spelling, and grammar
- Highly organised, self-motivated, ability to prioritise workload
- Strong verbal and written communication skills
- Ability to handle confidential information with discretion
- Work as part of a team and on own initiative
- Work to tight deadlines with accuracy
- Experience of accurate report writing
- Proficient IT skills (Microsoft Packages, Teams, Zoom)
Desirable:
- Experience in a research institute or university environment
