Purpose of the Post
The role is part of [Employer hidden — sign up to reveal]’s Contracts Team within the Legal, Trust & Ethics Team. As a Contracts and Administrative Support Officer, the successful candidate will work under the supervision and guidance of the Head of Contracts, Procurement and Policy across the entire organisation to provide contracts and administrative support to enable [Employer hidden — sign up to reveal] to deliver a range of high-profile public health initiatives including cutting edge efforts to coordinate UK health data infrastructure and facilitate COVID research in the UK and abroad. The work of the Contracts Team includes regular work with universities, funders, and governmental entities regarding complex data infrastructure and research projects. The successful candidate will also assist with a variety of business contract and administrative support matters that support [Employer hidden — sign up to reveal]’s public health initiatives. This fast-paced role will involve regular contact with internal and external stakeholders at all levels.

Main Responsibilities
- Contracting and Administration: Maintain the Contracts Inbox, review contract request forms, set up new contract matters, and allocate them; ensure efficient administration and accurate records; process standard contractual agreements using [Employer hidden — sign up to reveal] templates; review standard contracts from other parties; assist with administrative and communications support for agreements; work collaboratively with other teams; advise staff on contract terms; support procurement and call for funding activities.
- General Administrative Support: Provide meeting and event logistics and planning support for the Legal, Trust & Ethics Team; provide general administrative support as needed.
- Process and Systems Development: Assist with maintaining and improving contracting processes, policies, and templates; assist with developing adjacent policies; establish best practices and communicate them to internal stakeholders.
- Risk Management and Due Diligence: Manage risk profile of assigned contracts; assist in advising and reporting to Senior Leadership Team and Board.
- Relationship Management: Build and maintain excellent relationships with internal and external stakeholders; provide advice and communicate timelines and policy requirements.
- Other: Attend training; work across teams as needed.
Knowledge, Skills and Experience
Essential
- Educated to degree level or equivalent, or good A levels with significant administrative experience and prior experience in or an interest in contract drafting, reviewing and negotiation.
- Pragmatic and well organised with excellent attention to detail.
- Excellent communication skills (written and verbal) with the ability to communicate effectively with a wide audience.
- Ability to work well independently as well as part of multidisciplinary teams.
- Ability to deliver excellent customer service and build positive professional relationships.
- Resilience and ability to prioritise and manage a complex workload, meeting deadlines across multiple projects.
Desirable
- Experience with drafting, reviewing and/or negotiating contractual agreements and/or research funding experience.
- Experience with event and meeting logistics, CRM systems, venue hire agreements, service agreements, research agreements, studentship agreements.
- Experience working within the UK Higher Education sector.
- Experience in an organisation undergoing rapid growth.
- Experience in process or policy development and/or delivering training to internal stakeholders.
Additional Information
Salary: £36,000 - £39,000 per year. Location: Flexible, primary base anywhere in the UK, home working permitted, must be willing to travel to London. Type of contract: Permanent, full time. Deadline: 15 November 2023 at 5:00 PM.
