Training Support Administrator

[Employer hidden — sign up to reveal] is seeking a Training Support Administrator to support the delivery and monitoring of training and education programmes within the Capacity Building Team. The role focuses on internship programmes including the Black Internship Programme and Wellcome-funded Biomedical Vacation Scholarship scheme. Responsibilities include administrative support, record-keeping, event organisation, and stakeholder communication. The role offers a hybrid working pattern with occasional travel to London.

Purpose of the post

Main responsibilities

This post will report to the Internship Manager and support in the delivery of all operational and administrative aspects of [Employer hidden — sign up to reveal]’s internship programmes including (i) our Black Internship Programme delivered in partnership with 55+ partner organisations and (ii) our Wellcome-funded Biomedical Vacation Scholarship scheme. The role holder will support all aspects including enquiries, applications, marketing, working with relevant partner organisations and the central team to ensure new and existing administrative processes are implemented effectively.

  • Provide administrative support for programmes across Talent and Training team
  • Being a first point of contact and developing positive working relationships with students, interns, academics, prospective trainees, [Employer hidden — sign up to reveal] colleagues and partner organisations through email, phone and in-person queries
  • Meticulous and accurate record-keeping of training programme information using Excel spreadsheets and HubSpot
  • Support the delivery of all recruitment processes across the training programmes
  • Communicate clearly, effectively and promptly answering queries from a wide range of stakeholders through supporting shared email inbox
  • Organise events (in-person and virtual), taking and circulating meeting minutes
  • Collate and update metrics across all training programmes for monitoring purposes
  • Contributing to our continuous improvements documentation and helping to implement and embed these within our training programmes
  • Maintain positive working relationships with colleagues within [Employer hidden — sign up to reveal] and wider community

This role will require in-person attendance in the London office at least 2 working days every month and for additional Team-wide meetings as required.

Knowledge, Skills, and Experience

Candidates should have or be:

  • A strong sense of customer service
  • Proactive, enthusiastic and have a collaborative approach
  • Comfortable working in an environment that moves at pace with change
  • Experience with customer relationship management databases such as HubSpot
  • An interest in social mobility and learning and development
  • Comfortable with Microsoft Office, specifically Outlook, Word, Excel and PowerPoint
  • A keen eye for detail and working in an organised manner
  • Ability to work independently as well as being effective within a team
  • Strong written communication skills

Desirable:

  • Familiarity with virtual communication platforms, specifically Zoom
  • Experience using SharePoint systems such as Box
  • Experience with creating content for WordPress websites and / or social media platforms
  • Experience of event management
  • Experience of building and maintaining stakeholder relationships
  • Knowledge of GDPR
  • An interest in improving processes within a professional or academic setting
