Job Overview
[Employer hidden — sign up to reveal] is seeking an organized and enthusiastic Executive Assistant to support a mix of Partners and Principals.

THIS IS A HYBRID ROLE THAT REQUIRES A PRESENCE IN THE OFFICE 2 DAYS PER WEEK. THERE IS NO OPTION TO BE FULLY REMOTE.
Key Responsibilities
- Business Development: Build relationships with clients and client EAs, understand business goals, maintain CRM database, track sales activity, etc.
- Calendaring: Maintain diaries for Partners, scheduling internal and external meetings.
- Travel Arrangement: Coordinate travel and accommodation, book cars, rail tickets, etc.
- Daily Administration: Work with HC to obtain work permits and visas, manage documents, notify staffing, manage confidential information.
- Timesheet and Expense Reporting: Prepare monthly timesheets and expense reports.
- Team Support: Provide coverage for absent EAs, short-term coverage for transitions, training, participate in team meetings.
Experience Required
- Bachelor’s degree preferred
- At least 3 years’ experience in administrative or customer service position
- Experience in financial services, management consultancy or professional services a plus
- English fluency a must
- Portuguese fluency desirable
Technical Skills
- Excellent Word, PowerPoint and Excel skills
- Expert knowledge of Outlook
- Knowledge of CRM systems (Microsoft Dynamics) a plus
