Job summary

Main duties of the job

The major responsibilities of the role are working with and assisting the Research Management & Support Office to provide both clerical and administrative support to the team. The role will play a vital part in the administration and smooth-running of the department and the individual will be involved with the coordination and implementation of office procedures and will have responsibility for specific projects and tasks.

Salary adjustment for successful candidates:

  • New to the NHS: If you are joining the NHS for the first time, you will be paid at the Apprentice Rate, which is currently £8.00 per hour (from April 2026) for the first year of your apprenticeship. After the first year, you will be paid the age-related National Minimum Wage for the remainder of your fixed-term contract.
  • Existing NHS Employees: If you already have NHS experience, your pay will be determined in accordance with Annex 21 of the Agenda for Change Terms and Conditions. This means you will receive a percentage of the relevant pay band for the role, reflective of your current qualifications and experience.

The main purpose of this post is to provide administrative support to the Research Management & Support Office function as required. The jobholder will work with other team members to ensure that necessary systems are in place to provide a responsible and efficient administrative service for the Research Management & Support Office. The post holder will have support and supervision from the PA to Director of Operations, Research Support Manager and the Research Administrators who will provide guidance on the work schedule and priorities on a day-to-day basis.

The key areas of responsibility will include:

  • Providing an administrative service within the Research Management & Support Office including typing, photocopying, mailing, e-mailing, archiving files and general filing
  • Answering the telephones - handling enquiries, taking messages and relaying these to the relevant team members
  • Handling the incoming / outgoing mail, this will also include collecting incoming mail from and taking outgoing mail to the post room if recorded or special delivery
  • Liaising with colleagues throughout the department in order to fulfil the requirements of the role.
  • Assisting with other administrative tasks in other areas that are the responsibility of the Director of Operations and the Research Support Manager, e.g., managing a research projects database, reception duties in the BIHR.

Experience

Essential: Experience of working as part of a team

Desirable: Experience of working within an office environment

Qualifications

Essential: Minimum of 5 GCSEs (including Maths and English Grade C or above) OR EQUIVALENT

Desirable: Confident IT Skills including good word processing
