Job summary
To be responsible for providing full coordinator and administrative support to the Central London Liaison and Diversion team, including Charing Cross Police Custody, Westminster Magistrates Court and Central Criminal Court. This will involve proactive monitoring and tracking of screening and referrals of patients, working closely with clinicians and NHS trust colleagues. The role will also include word processing, receiving and disseminating information, maintaining electronic database/s, general reception duties and other administrative tasks to assist the Liaison and Diversion Team in carrying out a range of clinical/non clinical activity efficiently and effectively.
Main duties of the job
- Coordinate patient information flow from Police Custody to the Magistrates Court and then to Prisons or community teams.
- Provide administrative support to three Liaison and Diversion Teams across Police Custody, Magistrates Court and Crown Court.
- Complete monthly data submission for NHS England and to produce data report and audits when required.

Job responsibilities

Deal with telephone calls, correspondence and contact with clients and internal and external agencies in an appropriate and professional manner using judgement and discretion where necessary and referring to complex matters to relevant senior members of staff. Morning preparation of Custody sheets by checking team email inbox for custody sheets sent by Serco. These contain the list of individuals in custody awaiting trial or hearing. Ensure all NHS numbers are located and check if any individuals are known to other mental health organizations, as this helps us provide a full mental health background. Van Arrivals & Court Liaison: Van arrival around 10 AM, the vans typically bring in the prisoners and custody cases. Check in with Serco to confirm who is coming in and whom we need to prepare for. Liaise with the list caller or court usher to make sure the practitioners are called when their individuals are due in court. Track patient outcomes for patients who have been referred to the service and document on electronic patient record system. To attend team meetings as required and to be an active participant in the monthly administrative team meetings.
To input and retrieve service user details and statistical data into the relevant Trust and local authority service user information systems. Monthly data collection submission and producing quarterly reports. To assist the team to carry out any audits of team records and ensure that records are archived as and when appropriate.
Person Specification
Education and Qualifications
Essential: GCSE or other equivalent qualification, RSA III or NVQ III or experience secretarial/administrative experience. Desirable: ECDL, NVQ in Customer Care.
Previous Experience
Essential: administrative/secretarial experience. Desirable: NHS/Health related/Mental Health experience.
Skills & Knowledge
Essential: Able to communicate clearly in both written and verbal English; Knowledge of a range of secretarial and office procedures; Knowledge of Microsoft Windows packages including Word, Excel; Good interpersonal skills; Able to prioritise work and work unsupervised; Able to work cooperatively as part of a team; Able to work flexibly; Able to deal with difficult situations; Able to treat Service Users with respect; Able to build constructive relationships with warmth and empathy. Desirable: NHS/Health related/Mental Health experience.
