A Little About the Role:

We're on the lookout for an organisation-superhero to work super closely with our Operations and Product Delivery teams based out of our product hub in Broxburn, Scotland. This is a busy role with loads of variety but broadly covers a mixture of office management, project management, team wellbeing and engagement, PA support and comms planning. You can probably add 'Pizzaiolo' to that list too, but don't worry if you aren't a top chef yet - you'll be in the best place to learn! You'll work alongside our Operations leadership team and COO to ensure our team have everything they need to deliver trailblazing products. This is an on-site role, 4 days a week in our Office in Broxburn, Scotland.

What you'll do:

  • Get stuck in with coordinating cross functional projects across the Operations team - ensuring effective communication and collaboration across different departments
  • Coordinate the weekly, monthly and quarterly cadences of meetings, huddles and project updates to get the right people in the know about the right things
  • Act as Office Manager for our product hub space - taking care of consumables ordering (it's mainly flour and coffee), ensuring our workspaces run smoothly and supporting our Health, Safety & Facilities Manager with checks, risk assessments and controls as required
  • Keep a close eye on inbound and outbound travel across the team - we work with suppliers across Asia and making sure that visits in both directions are productive and well-organised is really important
  • Coordinate events across the team as required - from big supplier visits and product reviews through to team get togethers and engagement opportunities
  • Provide some PA support to our COO - in particular helping manage her absolutely terrifying calendar and ensuring follow ups, meeting notes and actions and comms are all taken care of.

What you'll need to succeed:

  • Stellar organisational skills
  • Great communication - written and verbal and a strong awareness of cultural adaptation when working with international partners
  • A 'fixer' mindset - if you see a problem your first instinct is to solve it
  • Discretion and sensitivity - you're going to be helping deliver highly confidential products and projects and you really understand the importance of confidentiality to do so

You'll get bonus points if:

  • You have Project Management / PA / Office Manager experience
  • You have experience working with business partners in China
