Job summary

We are looking to recruit a highly motivated and enthusiastic team player who can demonstrate high standards of reception and administrative skills to join the Health Records Team. The successful candidate will be based at Seaton Delaval however, they will be required to work at Hexham, Wansbeck and North Tyneside to ensure a high quality service is provided at all times.

The successful candidate must be flexible and able to adjust to the requirements of the service to cover various shifts, including weekends and all Bank Holidays. This is a demanding role and the post holder must be able to work under pressure to meet the needs of the service. Full training will be given to allow the successful candidate to work as part of the team in the Central Medical Records Library, Medical Records Hubs, Main Outpatients at Wansbeck, North Tyneside and Hexham Hospitals, Gynecology, Antenatal, Morpeth View and Main Reception areas.

Main duties of the job

  • Physical element: moving and handling of flatbeds and trollies, use of stepladders, standing for long periods when working in reception areas.
  • Customer orientated service compliant with the Trust confidentiality policy in line with GDPR.
  • Receiving patients and visitors into reception areas with accurate recording and processing of patient activity using NHS computer systems including Patient Administration System (PAS) and Mediviewer.
  • Work in partnership with colleagues in Health Records Hubs, wards and departments across the Trust to provide a high-quality service.
  • Provide non-clinical advice to patients, relatives, the public and internal and external agencies.

Job responsibilities

  • Good interpersonal skills for effective communication with patients and service users.
  • Good numeracy, literacy and keyboard skills to enable accurate data capture.
  • Work as part of the larger Health Records Team under the guidance of a Team Leader.
  • Good knowledge of GDPR.
  • Ability to prioritise and organise workload with competing priorities.
  • Provide non-clinical advice to patients, relatives, the public and internal and external agencies.
  • Be flexible to cover various shifts including weekends and Bank Holidays.
  • Share knowledge and skills with colleagues to maintain excellence in customer care.
  • Follow corporate and local policies.

Person Specification

Qualifications

Essential: Educated to NVQ level 2 or equivalent; English and Mathematics or ability to demonstrate good numeracy/literacy skills. Desirable: Qualification in Health Records or related profession.

Experience

Essential: Good knowledge of Data Protection Act; experience of working with the public. Desirable: Experience in hospital-based Health Records or related NHS service; understanding of NHS organisation and implications for Health Records.

Other

Essential: Valid driving licence and car owner or Trust personal lease vehicle for work purposes (reasonable adjustments considered for disabled applicants).
