Job Summary
To work as part of the Diagnostic Centre admin team in the scheduling of appointments for both NHS and Private Patients for a wide range of diagnostic tests in accordance with waiting time guidelines. The Patient Pathway Coordinator will manage and maintain the bookings for the echocardiology department, working closely with clinical and managerial staff to ensure patients receive timely diagnostic appointments and national targets are met. The post holder will also provide receptionist duties and departmental NHS secretarial support to consultants.
Main Duties of the Job
- Cross cover receptions and Diagnostic Centre areas
- Greet patients, complete three-point check, provide appropriate paperwork
- Coordinate and schedule appointments on hospital systems
- Monitor, update and reschedule DNA appointments daily
- Register new patients, assist with image transfers
- Provide administrative support to diagnostic centre teams
- Assist private patients with payments and documentation
- Prepare appointment lists and ensure all paperwork is available
- Assist sonographers and consultants with administrative matters
- Record and collate data for audits

Job Responsibilities
The duties include monitoring patient care progress using Patient Tracking List, emailing appointment services, tidying doctors letters on EPIC, placing transport requests, receiving referrals, coordinating administrative support, updating enquiries, attending meetings, participating in audits, and suggesting improvements. The post holder will also develop working relationships, collect and update patient information, and provide day-to-day supervision of administrators.
Person Specification
Qualifications
Essential: Good general education with English and Maths to GCSE standard, fluency in English, evidence of formal further training and significant hospital admin experience. Desirable: IT qualification (e.g. ECDL), customer services qualification.
Experience & Knowledge
Essential: Previous admin role in NHS or private healthcare, experience with electronic booking systems, understanding of NHS waiting time targets. Desirable: Experience in diagnostics/imaging department, experience with EPIC.
Skills & Abilities
Essential: Effective communication, ability to balance competing priorities, excellent interpersonal skills, detail focus.
Personal Qualities
Essential: Punctual, conscientious, calm under pressure.
