Reception Coordinator

Job summary
We are looking for a friendly, reliable and efficient Reception Coordinator who will be responsible for the leadership and supervision of the Reception team. The role requires excellent communication and interpersonal skills to engage effectively with patients, visitors, and staff across the practice. The Reception Coordinator will ensure all reception duties are performed effectively, and provide ongoing support, training and supervision to the Reception team.
Main duties of the job
The Reception Coordinator is responsible for the day to day supervision and effective management of the reception team to ensure the smooth running of front of house services. This includes overseeing workloads and performance, producing daily and weekly rotas to ensure safe and appropriate staffing, supporting staff to triage requests and book appointments correctly, and acting as the first point of contact for patient complaints to prevent escalation.

Job responsibilities
- Day to day supervision of the Reception team, providing consistent oversight, guidance, and support.
- Arranging quarterly one-to-one supervision sessions and probationary review meetings.
- Arranging regular Reception team meetings.
- Supporting the Reception team to ensure effective delivery of QOF, North West London (NWL) enhanced services and borough services.
- Training of new reception team members.
- Producing weekly Reception rotas.
- Producing daily Receptionist rotas.
- Being the first point of contact for handling patient complaints.
- Supervising the Reception team to appropriately triage patient requests.
Person Specification
Qualifications
Essential: A good standard of education with GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English. Desirable: NVQ Level 3 in Health and Social Care.
Knowledge and skills
Essential: Excellent communication skills, competent in MS Office and Outlook, problem solver, ability to use own initiative, able to work with diverse backgrounds, team working, sensitive and empathetic, good organisational skills, clinical IT system user skills, understanding of safeguarding adults and children, etc.
Experience
Essential: Experience of working with the general public, in a healthcare setting, leading a team, and administrative duties. Desirable: Experience of using SystmOne.
