Operations & Compliance Assistant

[Employer hidden — sign up to reveal] is seeking an Operations & Compliance Assistant to join the Head Office team. This full-time, permanent role offers a salary of £26,000 - £30,000 per annum.

Job Summary

In the role of Operations & Compliance Assistant, you will report directly to the Head of Manufacturing & Operations and the Product Manager, working closely with the wider Head Office Senior Management Team. You will support the day-to-day operations of the business by providing essential administrative and operational assistance across compliance, new product development (NPD), and operations. Additionally, you will help ensure adherence to data protection regulations by maintaining accurate and secure data management practices across all operational processes.

About the Position

  • Product Registrations: Manage international cosmetic portals and support new product registrations (e.g. CPNP, FDA), ensuring full compliance with relevant regulations.
  • Compliance Support: Provide ad hoc support across compliance-related activities and documentation.
  • NPD Support: Track critical paths for new product launches, liaising with suppliers to ensure timelines are met.
  • Purchase Order Management: Process operational purchase orders, update delivery statuses, verify costs, and ensure order acknowledgements are received. Monitor order timelines to prevent stock shortages.
  • Product & Stock Management: Upload and maintain all product data and Bills of Materials (BOMs) within Unleashed. Prepare weekly stock reports with clear summaries and recommendations for review.
  • Cost Management & Efficiency: Develop costing templates, maintain quote trackers, and audit supplier pricing to identify cost-saving opportunities without compromising quality.
  • Conduct weekly stock audits and manage stock orders to ensure inventory accuracy.
  • Oversee office communications, including categorising and managing emails and post.
  • Perform general office duties, including welcoming clients and visitors.
  • Support the onboarding of new employees, including setting up office systems and software.
  • Assist with product sampling for both existing and new formulations, ensuring samples are prepared and presented to the Product Manager for review.
  • Carry out any additional ad hoc office and administrative tasks as required.

Our Requirements

  • Strong organisational and administrative skills, with attention to detail in data management and compliance.
  • Experience in purchase order processing, stock reporting, and product information systems (e.g., Unleashed).
  • Experience in onboarding new employees and setting up office systems/software.
  • Proficiency in managing product listings and preparing marketing or operational documents.
  • Familiarity with international product registration portals (e.g., CPNP) is a plus.
  • Strong communication skills for customer support and office correspondence.
  • Ability to identify cost-saving opportunities and streamline operational processes.
