Patient Support Associate - Part Time

The Role: Are you passionate about delivering exceptional customer service? Your focus will be providing first class customer experience at our [Employer hidden — sign up to reveal] Clinic. Working as part of a close-knit team, you will be the central point for our patients, staff and visitors, handling a broad range of enquiries in person, by telephone and email.

This is a part-time role working 2/3 days per week. There will be a weekend and evening shift required on a rotational basis of 1:4.

The Location: Oxford Fertility was established in 1992 and is one of the UK’s longest standing and largest IVF clinics. Conveniently located in a business park on the outskirts of Oxford, close to junction 8a of the M40.

Job Requirements

Key Responsibilities:

  • Promptly and professionally managing initial enquiries via telephone/email within 24 hours.
  • Effective processing of all GP, consultant and self-referrals within 3 days.
  • Dealing with all satellite clinics and ensuring high standard communication.
  • Explaining processes to new patients.
  • Ensuring patient records and correspondence are correctly filed.
  • Using the patient database for recording and maintaining patient information, including appointment and invoicing system.
  • Ensuring all communication with the patient is documented.
  • Ensuring payment received for appointments requiring upfront payment.
  • Scanning and allocating patient notes, invoices and other paperwork.

Qualifications and Experience:

  • Educated to Higher Level
  • Experience in an administration role
  • Experience working with patients/customers face-to-face and over telephone
  • Proficient knowledge of Microsoft Office Packages
  • Excellent keyboard/IT skills
  • Excellent oral and written communication skills
  • Excellent time management skills
  • Commitment to delivering high-quality patient experience
  • Comfortable asking for and taking payments
  • High level of customer orientation
  • High level of resilience and empathy

Salary: Competitive (Depending on experience) | Working Hours: 15-22.5 per week | Pension: Dual contribution pension scheme | Holiday: 27 days + Bank holidays pro rata
