Client Services Administrator

Pattingham, South Staffordshire WV6 | Permanent | Full-time | Competitive Salary

About the Role

We are seeking a Client Services Administrator to join an established and growing wealth management practice. This is a full-time, permanent opportunity working within an experienced team and delivering administrative support in a vibrant and fast-paced environment.

The successful candidate will play a key role in supporting financial advisers and paraplanners in delivering high-quality financial planning and investment advice to clients. This position requires excellent organisational skills, accuracy, a positive attitude and a passion to deliver an outstanding service.

Key Responsibilities

  • Making appointments for clients and calling them in advance to confirm, sending out relevant pre-meeting information
  • Answering and logging all incoming client calls, passing on messages and ensuring that any updates to client contact information are captured on the CRM system
  • Preparing new and existing client meeting packs, including wealth account reports, investor returns, valuation documents and any other necessary information for the adviser
  • Creating and maintaining client records on Salesforce to ensure that GDPR, FCA and regulatory protocols are adhered to
  • Generating correspondence to clients, including post-review letters
  • Liaising with external providers and companies by letter, telephone and email to chase information requests
  • Processing fund switches, rebalances and client withdrawals, along with any other post-meeting actions
  • Preparing business submission documents for onward allocation to the paraplanning team
  • Liaising with the paraplanning team to ensure client presentations are obtained ahead of meetings
  • Managing own and/or adviser mailboxes in a timely and professional manner
  • Welcoming clients professionally from reception for on-site meetings
  • Prioritising and managing own workload effectively
  • Maintaining a good knowledge of products offered and managing own learning and development
  • Providing cover for other team members as required
  • Participating in team meetings

Skills and Experience

Essential:

  • Excellent communication skills — both written and verbal
  • High attention to detail and accuracy in all work
  • Ability to prioritise workloads and meet deadlines under pressure
  • Proficient in Microsoft Office (Word, Excel, Outlook) and CRM systems
  • A team player with a proactive and solution-focused attitude
  • Excellent customer service skills

Desirable:

  • 2 years of experience working within a wealth management environment
  • Previous experience of working within an SJP partner practice
  • Strong understanding of pensions, investments and protection products
  • Good knowledge of FCA regulations and compliance requirements
  • Salesforce experience
