Main Responsibilities

Under the responsibility of the Administrative and Financial Director, the assistant manages administrative and financial aspects of training, school trips, and missions at [Employer hidden — sign up to reveal].

  • Collect training needs of staff, prepare and lead continuous training committees, report to the Regional Training Institute (Brussels).
  • Manage training registrations and logistical organization of courses.
  • Handle school trips: annual campaign, project collection and follow-up, budget execution, reservations, and financial reports.
  • Manage missions (IEN, trainers) and trip delegation files.

Specific Duties

Training & Missions

  • Welcome staff and inform them about access to continuous training.
  • Contribute to local and regional training plans (collect needs, study and validate with management and staff representatives).
  • Manage staff registrations (study and validate applications).
  • Liaise with various stakeholders (Regional Training Institute, IEN, other ZENOS schools, trainers, IT, catering, hotel, travel agency).
  • Organize courses hosted at LFCG and travel for staff training in other zone schools.
  • Purchase transport tickets and book hotel rooms.
  • Prepare administrative and financial documents in collaboration with the Regional Training Institute.
  • Use ATENA platform for all training process steps; assist new staff with login and use.
  • Manage individual training requests (authorization, registration, invoicing, expense reports).
  • Develop and monitor specific dashboards for training actions.

School Trips

  • Manage school trip files.
  • Monitor budgets (expenses and income) in liaison with the Administrative and Financial Director and Deputy.
  • Receive and process invoices (expenses) and invoicing (income).
  • Prepare and present financial reports for school trips.

Pre-paid Expense Management (DAO)

  • Enter budget entries for all pre-paid expenses, petty cash advances, etc.
  • Prepare data needed for accounting closing (CCA, CAPAC, PCA, etc.).

Required Profile

  • Proficiency in IT (Word, Excel, Internet, databases).
  • Experience in the assigned missions.
  • Rigor, organization, autonomy, flexibility in working hours.
  • Good knowledge of accounting.
  • Fluency in English (essential).
  • Proven ability to work in a team.
  • Knowledge of administrative and financial functioning of a school abroad appreciated.

Compensation & Benefits

  • Monthly gross salary: £2,796.24 (all bonuses included, to be confirmed).
  • Employer contribution to private health insurance.
  • 15% employer contribution to a supplementary pension fund.
  • 60 days of vacation per year.
