Volunteer Team Office Administrator – Transport & Logistics

About the role
[Employer hidden — sign up to reveal] is looking for a friendly, organised and reliable Volunteer Team Office Administrator to support our Transport & Logistics Manager. This role plays a vital part in ensuring the smooth day to day running of our transport and logistics operations, which help us deliver care and support to patients, families and the wider community.

What you’ll be doing
- Managing the Transport & Logistics departmental inbox, monitoring and responding to emails in a professional and timely manner
- Maintaining clear and well‑organised email filing systems
- Flagging urgent issues such as vehicle breakdowns, staffing gaps or delayed deliveries
- Drafting and sending professional email responses on behalf of the department
- Acting as the first point of contact for incoming calls, providing a courteous and efficient service
- Answering and returning calls promptly and escalating urgent messages without delay
- Prioritising requests such as donor offers and transport bookings and allocating actions appropriately
- Supporting general administration, including monitoring daily transport activities, deliveries, collections and vehicle movements
- Coordinating vehicle usage and rotas for retail collections, deliveries, waste runs and internal logistics
- Maintaining accurate records for vehicle servicing, MOTs, insurance, tax and other compliance checks
- Ensuring staffing rotas are kept up to date
What we’re looking for
Essential:
- Some experience or an interest in transport, logistics and/or the retail environment
- Excellent communication and customer service skills
- A friendly, flexible “people person” who enjoys working as part of a team
- Strong IT skills, including Outlook, Excel and Microsoft Teams
- Good organisational skills with the ability to prioritise tasks effectively
- An understanding of health, safety and security requirements
- A commitment to promoting the values, ethos and work of the Hospice
Desirable skills:
- Previous voluntary sector experience
- Experience in a similar administrative role

We support patients with both cancer and non-cancer diagnoses, and those closest to them, and all our services are provided free of charge.
