The Role
As a Document Controller, you’ll play a central role in managing all project documentation, ensuring information is accurate, compliant, and issued on time to the project team and supply chain.
Key responsibilities include:
- Managing all incoming and outgoing project documentation, including drawings, technical submittals, RFIs, O&M manuals, and specifications.
- Setting up and maintaining structured electronic and paper filing systems in line with company and project requirements.
- Ensuring document control procedures are followed, including version control, approvals, and accurate distribution.
- Working closely with Project Managers, Engineers, site teams, subcontractors, and clients to support clear communication and document flow.
- Uploading, managing, and updating documents across project platforms such as Viewpoint, Asite, Aconex, or client-specific systems.
- Supporting audits by ensuring documentation is current, correctly filed, and fully compliant.
- Producing regular reports on document status, outstanding actions, and overall compliance.
- Managing final project archiving and handover documentation to ensure records are complete and accessible.
What You’ll Bring
- Proven experience in a Document Controller or similar role, ideally within construction or Building Services.
- Must have experience of industry recognised construction document management software such as Viewpoint, Procore, Asite etc.
- Must have proven experience in a document control role within a construction environment.
- A collaborative team player with a willingness to support the wider project team.
- Strong working knowledge of Microsoft Office (Excel, Word, Teams) and a willingness to learn new systems.
- Excellent communication skills with a friendly, approachable manner.
- High levels of organisation, attention to detail, and accuracy.
- Ability to manage multiple priorities and deadlines in a live project environment.
