FULL DESCRIPTION
[Employer hidden — sign up to reveal] International Limited is hiring a Project Coordinator in Glenrothes, UK. This is a full-time, permanent position offering a competitive salary and excellent benefits.
Role and Responsibilities
The position acts as an organisational hub—coordinating internal teams, tracking progress, ensuring compliance with engineering processes, and assisting with customer-facing deliverables:
- Support Project KAMs with the day-to-day management of multiple projects.
- Prepare and maintain project documentation including schedules, action logs, risk registers, and project status reports.
- Coordinate internal project meetings, prepare agendas, capture minutes, and track actions to completion.
- Ensure project information is stored and updated in relevant systems (e.g., ERP, CRM, Project SharePoint).
- Support and coordinate Management of Change processes.
- Assist with preparing quotations, variations, costings, purchase orders, and contract documentation as directed by the KAMs.
- Track customer requirements, technical specifications, and scope changes, ensuring alignment across all stakeholders.
- Support the creation of customer reports, presentations, and progress updates.
- Help manage customer communication channels to ensure timely responses and consistent project messaging.
- Work in the project department coordinating with engineering, production, procurement, and quality teams to ensure project tasks are scheduled appropriately.
- Monitor material availability and procurement progress, raising concerns proactively.
- Follow up with internal departments to verify task completion and flag potential delays to Projects and report to the KAMs.
- Maintain accurate project data for KPIs, including on-time delivery, margin tracking, and workload metrics.
- Assist with compiling monthly project performance reports and financial summaries.
- Ensure compliance with company quality standards, engineering procedures, and documentation requirements.
- Highlight process gaps or inefficiencies and support initiatives to improve project workflows.
- Contribute to lessons learned reviews and help implement improvements in coordination processes.
Skills and Experience
Essential
- Experience in project coordination, project management structures and planning process—ideally within engineering, manufacturing, or technical services.
- Strong organisational and multitasking skills with excellent attention to detail.
- Competent with MS Office (Excel, Word, PowerPoint, Project) and familiar with project tracking tools.
- Clear and professional communication style, both written and verbal.
- Ability to work with cross-functional teams and manage competing priorities.
Desirable
- Experience supporting Key Account Managers or customer-facing project teams.
- Knowledge of engineering terminology, drawings, BOMs, or manufacturing workflows.
- Experience with ERP, CRM, or project management systems.
- Awareness of quality management systems (ISO 9001 or similar).
