Key Responsibilities and Accountabilities

  • Provide administration support for the Contracts Managers and as required by the business.
  • Support project teams with general administrative duties, including document preparation, data entry, scheduling, and communication management.
  • Assist with formatting, reviewing, and controlling documents to ensure accuracy and consistency across all project materials.
  • Liaise effectively with colleagues, contractors, and clients to obtain required information and support smooth project workflows.
  • Maintain Operations & Maintenance (O&M) trackers, ensuring all information remains current, complete, and aligned with project handover requirements.
  • Attend project and team meetings to take clear, concise minutes; distribute actions and follow-ups promptly to relevant stakeholders.
  • Set up and maintain project folders, ensuring all documentation is accurately filed, accessible, and compliant with internal procedures.
  • Preparing ad-hoc reports on projects as required.

Personal Attributes / Aptitudes and Skills

  • Good standard of written English/GCSE
  • General level of education
  • Minimum two years’ experience in a similar role (Maintenance or Facilities Maintenance preferred)
  • Organised, Punctual, Clearly Spoken, Assertive/Confident
  • Excellent literacy and numeracy skills
  • Skills: Excel, Word, Outlook, PowerPoint, CAFM Software, Internet
