Purchasing Administrator

Location: Unit 2 Clipper Boulevard, Crossways Commercial Park, Dartford, DA2 6QB, United Kingdom
Salary: £28,000 per annum
Type: Full-Time

Description

As a Purchasing Administrator you will play a key role in supporting the smooth running of the Purchasing team by delivering accurate, timely and well-organised administrative support.

Shift: 8 hours, Monday - Friday
Salary: £28,000 per annum

Working in a fast-paced environment, this role supports the embedding of new suppliers and new products, supplier communication, purchasing documentation, and data accuracy. You will help to maintain efficient purchasing processes by ensuring that information is correct, deadlines are met, and colleagues have the administrative support required to operate effectively.

Your responsibilities will include:

Operational & Administrative Support

  • Onboarding of new suppliers and new products.
  • Maintain accurate purchasing records and documents, including updating SAP (training provided).
  • Track shipments and support logistics coordination, ensuring key documents and timelines are monitored.
  • Support the wider purchasing team with day-to-day administrative tasks to ensure an organised and efficient workflow.

Supplier & Internal Communication

  • Communicate with suppliers regarding order details, shipping updates, and delivery information.
  • Liaise with internal teams (Goods-In, Logistics, Finance) to support smooth operations and timely information flow.
  • Ensure all communication is professional, timely, and clear, contributing to strong working relationships.

Data Entry, Reporting & Systems

  • Maintain data accuracy across ERP systems, spreadsheets, and internal tracking tools.
  • Prepare routine reports such as outstanding PO lists, shipment tracking updates, and related administrative documentation.
  • Support continuous improvement by keeping systems up to date and identifying data inconsistencies or gaps.

Team Support & Cross-Functional Assistance

  • Provide ad hoc support across the purchasing team, assisting colleagues during peak workload times.
  • Assist with administrative follow-up tasks and ensure handovers are clear when required.
  • Uphold company procedures, deadlines, and documentation standards in all purchasing activity.

Requirements

We are looking for someone who has:

  • Some experience in administration is essential (experience in purchasing, imports or logistics—through work or internships—is desirable but not required).
  • Experience using MS Office applications, especially Excel and Outlook.
  • Experience using ERP systems (e.g., SAP) is beneficial but full training will be provided.
  • Strong organisational skills with excellent attention to detail.
  • Confident communication skills and a proactive, positive attitude.
  • Ability to prioritise tasks and manage time effectively.
  • Willingness to learn, adapt and support others across the team.
  • Reliable, self-motivated and able to work in a busy, fast-paced environment.
  • Professionalism, integrity and a commitment to accurate, high-quality work.
