Job summary
Medical Secretary - Cardiology
The purpose of this job is to be responsible for providing a full secretarial and PA service to the Cardiology Department.
The role involves working for Consultants and their team, typing clinical correspondence, reports, etc using the digital system, general administrative duties within the Cardiology team, but there may need to be flexibility in working throughout the Medical Division as service needs require.
Main duties of the job
- o To provide a comprehensive secretarial service to consultants, visiting consultants, junior medical doctors and clinical nurse specialists.
- o To supervise and take responsibility for assistant medical secretaries and departmental clerk.
- o To ensure all referrals are date stamped with date of arrival and entered on to waiting list daily.
- o To monitor e-Referral system daily, print referrals for Consultant's approval, accept/change referrals as appropriate.
- o To ensure all referrals are graded by consultant and appointments booked according to clinical need, in chronological order adhering to clinic booking rules.
- o To ensure EPR (Electronic Patient Record System) data is correct at all times adhering to 18 week waiting time guidance.
- o To be responsible for waiting list management for inpatients and outpatients.
- o Understanding and adherence to the Trust's Patient Access Policy, with particular focus on RTT and cancer performance standards.
- o To support and participate in the introduction and development of AI transcription systems.

Person Specification
Education & qualification
Essential:
- Good general education and GCSE in English and Mathematics or equivalent
- Secretarial Qualification or relevant experience
Desirable:
- RSA Stage 3 Typing/Word Processing or equivalent
Skills, knowledge and abilities
Essential:
- Proficient in typing (audio)/word processing
- Ability to effectively communicate both orally and in writing with a wide range of people
- Excellent telephone manner
- Ability to deal with situations tactfully
- Good organisational skills
- IT knowledge and computer skills
- Ability to meet tight timelines and deadlines
Desirable:
- Medical Terminology
- Knowledge of Health Records
Experience
Essential:
- Previous secretarial experience or equivalent
- Previous experience dealing with the public
- Diary Management
Desirable:
- Previous NHS/healthcare experience
- Previous experience with using AI transcription IT systems

- Ability to work on own initiative without close supervision
