Job summary

The Fundraising Assistant plays a vital role within the LHCH Charity Team, providing day-to-day administrative and supporter-focused assistance to help grow the charity's fundraising activity across the North West. Acting as a key point of contact for staff, volunteers, and members of the public, the post holder supports a wide range of fundraising operations while ensuring all activity aligns with Trust policies, Fundraising Codes of Practice, and data protection requirements.

Main duties of the job

The role involves managing fundraising enquiries, processing donations accurately using Donorflex, preparing fundraising materials, and supporting the planning and delivery of charity events. The post holder maintains accurate records, manages stock of fundraising resources, assists with income reconciliation, and contributes to marketing materials such as leaflets, posters, and social media content. They also help distribute promotional items, liaise with internal teams, and provide general clerical support to ensure the smooth running of the charity's fundraising activities.

JOB SUMMARY

The post holder is a key member of the team and will provide administrative and fundraising support to the LHCH Charity Team, LHCH Trust staff and Supporters/Fundraisers. The post holder will be working with colleagues to grow and develop our fundraising activities across the North West and beyond.

Main Duties and Responsibilities

Fundraising Responsibilities

  • Act as a first point of contact for all fundraising enquiries (via telephone, post and website, email and face to face) ensuring excellent customer service at all times.
  • To be able to communicate effectively with staff, members of the public, supporters and other external stakeholders regarding activities for the charity.
  • To assist in dealing with enquiries from Trust staff, volunteers, members of the public visiting or contacting the Charity Office and providing information on LHCH Charity including opportunities to support with fundraising.
  • Accurately process donations received via post, online or directly into the bank account on the fundraising database (Donorflex) ensuring that income is coded correctly and donors are thanked appropriately.
  • Assist fundraisers with the production of fundraising packs, sponsorship forms, letters of authority, certificates etc.
  • To support the delivery of fundraising events and initiatives, getting involved with all aspects from planning, attending and reviewing effectiveness of fundraising and LHCH Charity awareness events, some of which maybe at the weekend or evening.
  • Maintain the database (Donorflex) to ensure data is recorded and updated accurately in line with procedures and legal obligations
  • Issue collection tins and buckets as and when required; record returns and process donations ensuring donors are acknowledged appropriately.
  • Work with the Administration Manager to deliver monthly income reconciliation processes within agreed timescales ensuring the accuracy of donations and payments.
  • Ensure filing and admin systems are kept up to date
  • Provide clerical support to the wider fundraising team
  • Maintain and monitor stocks of fundraising materials and merchandise and reorder when necessary
  • To provide input and support with creating fundraising literature/marketing material such as leaflets, posters, social media and website contact and support the effective distribution of fundraising materials.
  • To support with distributing and maintaining points of sale fundraising such as leaflets, posters and charity collection tins.
  • To report and monitor any operating problems through the specified reporting channels
  • To contribute in a positive way in which our patients and staff experience our services by undertaking any other required responsibilities appropriate for the role.
  • The postholder will be expected to travel between LHCH and other external locations to support LHCH Charity. The post holder will need access to a vehicle to meet the travel requirements of the post. Travel expenses will be reimbursed in accordance with Trust policy.

Person Specification

Qualifications

Essential: Minimum 4 GCSE's or equivalent including Maths and English

Desirable: IT skills demonstrated through a formal qualification

Knowledge and Experience

Essential: Experience of working in a clerical environment. Experience of working with databases. Knowledge of working with Microsoft Word, Excel and Outlook

Desirable: Experience of working with Charity databases

Skills and Abilities

Essential: Ability to work under supervision and willingness to seek advice when appropriate. Able to carry out routine tasks following instruction. High level of accuracy and attention to detail. Effective team player who is flexible with the ability to prioritise and work to deadlines. Ability to communicate effectively with a wide variety of stakeholders
