FULL DESCRIPTION

Business Support Administrator

[Employer hidden — sign up to reveal] is seeking an organised and experienced administrator to support the management team and [Employer hidden — sign up to reveal] Group. We are a thriving practice with five sites in Mid Devon. This is a group-wide role supporting multiple sites.

Main duties of the job

The post holder will play a key role in supporting HR, finance, governance, operations and business processes, acting as a central point of co-ordination, with the support of the Business Support Officer. They will contribute to the smooth running of services, support performance monitoring, and help embed standardised systems and processes across the group. The role requires strong organisational skills, discretion, and the ability to work across teams. The post holder will be based at Clare House Surgery, with flexibility to work across locations of [Employer hidden — sign up to reveal] Group as required.

Job responsibilities

  • Provide comprehensive administrative support across all [Employer hidden — sign up to reveal] sites
  • Support the Operations Manager and wider leadership team
  • Manage shared inboxes, calendars, and communications
  • Prepare reports, letters, presentations and operational documentation
  • Support implementation of new systems and processes
  • Co-ordinate end-to-end recruitment administration
  • Maintain accurate staff records
  • Support governance processes, including incident and significant event administration
  • Support performance reporting by collating data
  • Co-ordinate group-wide meeting schedules and produce minutes
  • Support Patient Participation Group (PPG) co-ordination
  • Support health & safety administration

Person Specification

Essential

  • Strong administrative experience in a busy, multi-functional environment
  • Excellent organisational skills
  • High level of attention to detail
  • Confident communicator
  • Ability to handle confidential information with discretion
  • Proficient in Microsoft 365 (Outlook, Word, Excel, Teams)
  • Experience of diary management, minute taking and co-ordination of meetings
  • Ability to work independently and collaboratively
  • Problem-solving mindset

Desirable

  • Experience in a healthcare, GP practice or regulated environment
  • Understanding of HR, governance or operational processes
  • Experience supporting multi-site or group functions

Salary: £12.71 an hour
