Job Summary

The Dietetics Team at [Employer hidden — sign up to reveal] is looking for a dedicated Dietetics Support Secretary to join our friendly and dynamic department. As the first point of contact for the Dietetics service, you will provide comprehensive administrative and secretarial support to the Dietitians and wider INCS team.
Main Duties
- Act as the first point of contact, handling calls, emails and face-to-face enquiries.
- Manage patient referrals and book outpatient and virtual appointments on Trust systems.
- Type and upload clinical correspondence including letters and reports.
- Maintain accurate filing and administrative systems.
- Coordinate meetings, prepare agendas and take minutes.
- Liaise with suppliers, process orders, and monitor departmental stock.
- Support the wider INCS admin team during busy periods.
- Contribute to service improvements and streamline administrative processes.

Job Responsibilities
- Communication & Enquiry Management: Serve as first point of contact for calls, emails, and in-person queries; triage and escalate as needed.
- Referral and Appointment Management: Process electronic referrals using Harris Flex; manage booking system for outpatient appointments.
- Clinical Correspondence: Produce, type, and upload clinical letters and reports to TPro.
- Administrative & Secretarial Support: Maintain filing systems, manage secretarial duties, and support service initiatives.
- Meeting Coordination: Organise meetings, prepare agendas, take minutes.
- Procurement, Stock and Resource Management: Liaise with suppliers, place orders via Oracle, NHS Supply Chain or eProc.
- Maintaining Department Communication & Resources: Update signage and patient resources.
- Governance, Data Quality & Confidentiality: Adhere to confidentiality and information governance standards.
- Teamwork & Service Improvement: Collaborate with admin team, contribute ideas.
- Personal Responsibility & Professional Development: Manage own workload, maintain mandatory training, participate in appraisals.
Person Specification
Qualifications & Education
- NVQ 3 in Business & Administration or evidence of practical experience
- RSA 3 or equivalent experience
- Good standard of secondary education; GCSE Grade C or above
- Excellent IT skills
Knowledge & Experience
- Experience in working in NHS
- Understanding of sensitive information handling
- Excellent IT skills
