Registration Coordinator (Ignite) – London

  • Starting in June 2026
  • Working directly within the Data & Registration team. You will work with internal teams, clients and supplier partners
  • You will receive thorough induction and training in your role within the department and wider agency

Key Responsibilities

As Registration Coordinator you will work across one or multiple clients and projects, working closely with the client’s events team, supporting the Registration Lead and/or Project Lead in the planning, logistics, execution and delivery of all projects assigned to you. You will have regular client and internal interactions with different teams and [Employer hidden — sign up to reveal] colleagues across the globe and in multiple time zones.

The ideal candidate will be highly motivated and personable, someone who is confident, proactive, resourceful and enjoys getting things done. This person will need to be a people person, enjoy and value the importance of good processes and someone who is confident with using a variety of different software systems, these are trained as part of the on-boarding.

  • Proactive interaction with the Registration Lead, Project Lead and Client to ensure deliverables are completed in a timely fashion.
  • Handle registration reporting and related tasks
  • Manage audits such as registrations, invitations, and pass allocations
  • Responsible for registration data integrity
  • Manage event inboxes within service level agreements, with occasional phone support
  • Manage multiple events and event roles simultaneously
  • Travel to attend events internationally (including weekends)
  • Handle delegate payments, supplier invoicing and related tasks, when necessary
  • Plan and manage on-site registration processes and deliverables as needed
  • Work with client, suppliers, other vendors and co-workers in multiple locations and time zones
  • Organising, ordering, and managing materials and shipment for on-site
  • Support Registration Lead and/or Project Lead with logistics and administrative tasks

Your Background, Skills & Experience

Essential:

  • Strong multi-tasking and time management skills to include managing concurrent tasks efficiently
  • The ability to work off a timeline and keep the project on track
  • Project management skills
  • Strong written and verbal communication skills are essential
  • Strong customer service skills (phone skills, in person, e-mails, chats & IMs)
  • Detail oriented, strong organisational skills
  • Must be a team player. Must be flexible.
  • Microsoft Office or Google Suite skills, especially MS Excel/Google Sheets
  • Relevant experience would be an advantage
  • Flexible working approach which will include evenings/weekends as needed and away from home/overseas as required
  • Ability to work with client/s, co-workers and vendors in multiple locations and time zones
  • A good level of technical skills including database skills and comfortable working in multiple technical environments
