Office Coordinator (Part Time)
[Employer hidden — sign up to reveal] is an award-winning actuarial and analytics consultancy. This part-time role (25 hours/week, Mon-Fri 08:00-14:00) is based in Edinburgh.
What will you be doing?
- Meeting and greeting staff, visitors and contractors, managing sign-in with Proxyclick system
- Keeping Facilities system updated with vendor details and handling helpdesk requests
- Managing security door access control system, issuing cards and auditing records
- Overseeing office cleaning and scheduling periodic maintenance
- Stocking kitchen areas and servicing bean-to-cup machines
- Coordinating pest control visits
- Managing meeting rooms via Eptura Engage
- Carrying out visual checks of firefighting equipment and acting as First Aider and Fire Marshal
- Carrying out DSE assessments and personal emergency evacuation plans
- Ensuring recycling protocols and environmental compliance
- Assisting staff with travel bookings
- Handling incoming/outgoing mail
- Reconciling invoices and ordering supplies
- Providing ad hoc administrative support
What skills and experience are we looking for?
- Previous experience in office services
- IOSH Managing Safely qualification
- Strong administrative skills
- Basic IT skills with Excel, Microsoft Teams, Eptura Engage (training provided)
- Flexibility and ability to perform manual handling tasks
- Ability to work independently and as part of a team
