About this role

As a Personal Assistant within our GM team, you will support our Directors, as well as other PAs across the business, occasionally covering other PAs.

Some of your responsibilities will include:

  • Undertaking confidential correspondence on behalf of the relevant directors providing a full secretarial support service
  • Liaising directly with queries or escalations to the relevant member of the team
  • Extensive management of multiple diaries and organisation of meetings including, preparing papers ahead of meetings, ensuring actions are dealt with and general support
  • Organise travel arrangements and accommodation
  • Support organisation of internal and external conferences; liaising with suppliers, colleagues, external/ internal venues etc.
  • Management of expenses and invoice approval on PeopleSoft/Oracle
  • Monitoring holiday cover throughout Leadership Team
  • Prepare documents ahead of meetings and general communication; formatting, sense checking, draft slides from written notes

About you

For this role, we're looking for someone who has:

  • Significant experience as a PA and experience managing external suppliers
  • Experience in a large, complex organisation preferred
  • Must be technically literate and have a strong working knowledge of Google Mail and G Suite products
  • Enthusiasm and drive to deliver results to consistently high standards in a fast paced and demanding environment
  • Structured approach and a great eye for detail
  • Ability to build supportive, professional relationships with stakeholders at all levels
  • To work consistently to understand department needs and find ways to improve value and service
  • Experience of collating and analysing information to a high degree of accuracy
  • The ability to plan and organise, providing support with efficiency and effectiveness
