Executive Assistant Overview

The Executive Assistant provides high-level administrative and operational support to the CEO and wider global executive team. This role ensures the smooth functioning of executive activities, enabling leadership to focus on strategic priorities. The EA acts as a trusted partner, managing schedules, communications, and confidential information with discretion and professionalism.

Responsibilities & Duties

  • Diary, Schedule & Meeting Management - Coordinate complex calendars, meetings, and travel arrangements for the executive team; prepare agendas, briefing materials, and meeting minutes; track action items; manage domestic and international travel.
  • Project Support - Provide support on strategic projects and initiatives; conduct research and compile data.
  • Office & Facilities Management - Oversee facilities and office operations across multiple locations; lead team responsible for facilities support.
  • Communication & Correspondence - Serve as primary point of contact; draft, review, and manage emails, reports, and presentations.
  • Workspace & Environment Support - Lead team for office culture initiatives; oversee desk moves and meeting room bookings.
  • Event & On-Site Logistics - Partner with Events team to coordinate logistics for leadership meetings, offsites, town halls, and internal events; manage catering, AV, room layouts.

Qualifications

  • Proven experience as an Executive Assistant or in a senior administrative role, ideally within travel or corporate services.
  • Familiarity with travel industry operations is advantageous.
  • Strong understanding of business etiquette and executive-level support.
  • Exceptional organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • High level of discretion, professionalism, and integrity.
  • Proficiency in Microsoft Office Suite and travel booking systems.
  • Ability to perform under pressure and adapt to shifting priorities.
