What the job involves

We’re hiring a Workplace Experience Manager to own and elevate the full experience of working from [Employer hidden]’s London office. At [Employer hidden], in-person time is intentional. It should drive collaboration, energy, onboarding quality, and alignment with our strategy. This role exists to make that real. This is a mid-level, individual contributor role. You'll report into our People Director and be based in our London office 5 days per week. You'll combine operational excellence with taste, judgement, and proactive ownership. You'll be the person who notices what others don't, raises the bar without being asked, and ensures our workplace and events reflects the calibre of our team.

  • Assess what’s working and what isn’t, and proactively improve it
  • Refine layout, flow, rituals, and small details that shift perception
  • Raise standards without being asked
  • You’ll play a central role in shaping our new London office and ensuring the space supports how we work
  • Design and execute team events, socials, and in-person moments that people genuinely look forward to and that strengthen collaboration
  • Develop clear concepts and briefs
  • Manage vendors and budgets confidently
  • Create simple communication plans to drive attendance and engagement
  • Design lightweight feedback loops, analyse results, and continuously improve
  • From monthly All Hands and company off-sites to our bi-annual celebrations, you’ll ensure in-person time supports business outcomes as well as social connection
  • The overall standards and day-to-day functioning of the office environment
  • Vendor relationships, facilities coordination, and office supplies
  • Organising weekly lunches and keeping snacks stocked
  • Health & safety essentials
  • AV and meeting room setup (calls work, screens connect, rooms are ready)
  • Desk booking software: managing the platform and ensuring it reflects real attendance patterns
  • Meeting room scheduling and utilisation: preventing friction and resolving booking issues
  • You’ll proactively monitor how the office operates, spotting and resolving issues before they surface
  • You’ll be the welcoming face of [Employer hidden] for visitors, candidates, and new joiners

Working closely with the People and Talent teams, you will:

  • Ensure interview days run smoothly, including preparing rooms and coordinating logistics
  • Coordinate in-office onboarding touchpoints and welcome moments
  • Reinforce and strengthen our employer brand through every in-person interaction with candidates and new joiners
  • You’ll ensure someone’s first in-person experience of [Employer hidden] reflects our standards
  • Draft clear, warm internal communications for office initiatives, events, and changes
  • Consider timing, audience, and follow-up to drive engagement and attendance
  • Close feedback loops so people see outcomes, not just announcements
  • You understand that strong communication drives results

As part of the wider Back Office ecosystem, you’ll support operational processes where workplace and wider operations intersect

  • Support onboarding and offboarding processes (including granting and revoking access to core systems where appropriate)
  • Provide operational coordination where additional in-office support is needed
  • You’ll bring organisation and ownership to these touchpoints as part of a collaborative, evolving Back Office team

Our next 6–12 months are a pivotal period for how our workplace evolves. Some of the priorities you’ll help shape and deliver include:

  • Designing our next London office: Playing a central role in shaping how the space works in practice, from layout flow to collaboration zones, ensuring it supports how we work and the standards we expect
  • Increasing voluntary office attendance: Rethinking how we use in-person time so people choose to come in beyond mandatory days, from sharper All Hands to more intentional communal moments
  • Elevating our company rituals: Strengthening the structure and quality of recurring and ad hoc team gatherings so they are tightly linked to company strategy and drive real engagement
  • Reimagining team events and offsites: Developing considered, well-executed concepts with clear briefs, venue selection, budgets, and communication plans that increase collaboration and reflect the calibre of our team
  • Raising the operational bar: Auditing and upgrading the foundations (desk utilisation, lunches, shared spaces, vendor management) so the workplace runs seamlessly without reactive escalation
