Group Coordinator
[Employer hidden — view at passion-project.co.uk] is looking for an Administrator (internally called Group Coordinators) with previous experience in an administrative role, who is detail oriented and organised. The role comes with an attractive salary and benefits package.

Key duties
- Manage allocation of IT hardware and software, ensuring that the IT requirements of the group are notified to IT support.
- Liaising and working with central business services teams when required.
- Assisting Business Development/ Marketing with creating bid submissions and preparing new and existing CVs and project sheets where applicable
- Typing, formatting, reviewing and modification of correspondence and documents prepared by the technical staff – ensuring the Brand guidelines are followed.
- Prompt Engineers to complete their weekly timesheets.
- Creating team presentations for office communications and team meetings
- Coordinating multidiscipline reports – highlighting deadlines, template usage and set up, etc. Where possible, attend initial meetings with key collaborators – highlighting template needs/ requirements.
- Arranging, attending, and taking minutes including follow up action points for internal group and client meetings for the engineering teams where applicable.
- Arranging discipline team away days / events including organising CPDs
- Managing and coordinating business travel arrangements for the team, using an online platform, and liaising with the external Travel Management Company and Visa Agent when required
- Working alongside Welcome Coordinators to facilitate onboarding of new starters, including in-person support on first day and beyond.
- Coordinate and arrange Career Path Objective meetings for the team – twice a year.
- Update and maintain Magellan SharePoint pages and filing for teams.
- General ad-hoc admin duties, including converting documents, updating team structural charts, managing team calendars, managing team databases.
Your skills and experience
- Excellent computer and IT skills including; Word, Excel, PowerPoint, SharePoint and Teams
- Experience of setting up and maintaining administrative procedures
- Experience of maintaining quality management systems
- Good communication skills
- Confident, proactive character, with the ability to take the lead in challenging situations and problem solve
- Must be adaptable and open to change
- High level of attention to detail
- Experience of working with all levels of seniority
- Knowledge of InDesign would be desirable – training will be provided
- Knowledge of Photoshop and Illustrator would be desirable – training can be provided
- Solid foundation of office experience
- Working to multiple deadlines
- Experience of supporting large teams and working across offices
- Experience of supporting a team of people as well as working on a one-to-one basis
