We’re seeking a proactive Bid Administrator to join a busy and growing team within the construction and engineering sector. This is a fantastic opportunity for someone who thrives in a fast-paced environment, enjoys coordinating multiple deadlines, and is looking to develop their career within a forward-thinking business.
This role is offered as a permanent opportunity (flexibility can be considered depending on circumstances).
I would like to see CVs from anyone who has been a Bid Administrator, Bid Coordinator, Tender Administrator, Proposal Coordinator, or in a similar role.
The responsibilities of the Bid Administrator are:
- Managing the tenders inbox and overseeing all incoming opportunities
- Handling all portal correspondence including deadline extensions, missing documents, procurement updates, and RFIs
- Keeping company master information and internal documentation up to date
- Coordinating the bid team holiday tracker and internal schedules
- Raising and managing quotes on internal systems, updating statuses (Won/Lost/Cancelled)
- Updating trackers with pricing, submission status, and moving opportunities through pipeline stages
- Booking adjudications and ensuring estimators are prepared ahead of submission deadlines
- Arranging site visits and coordinating estimator diaries with full details
- Maintaining detailed and accurate bid trackers, including values, probabilities, key dates, and feedback
- Ensuring portals are up to date with company information and accreditations
- Taking and distributing Bid/No Bid meeting minutes
- Managing tender clarifications and distributing updates to relevant stakeholders
- Organising tender documentation, including version control and file management
- Completing company information, accreditation, and policy responses for ITTs, PQQs, RFQs, and questionnaires
- Preparing and submitting key tender documentation including forms of tender, non-collusion certificates, and declarations
- Supporting submission of stage 1 tenders
- Preparing weekly submission reports and updating internal trackers
- Chasing outstanding submissions and updating teams on outcomes
We’re looking for a Bid Administrator who has:
- Previous experience in a Bid Administration, Coordination, or Tender support role
- Experience within construction, engineering, or a similar sector (desirable)
- Excellent organisational skills with the ability to manage multiple live tenders
- Strong attention to detail and accuracy across documentation
- The ability to remain calm and focused under tight deadlines
- Strong communication skills and confidence liaising with internal teams
- Experience working with tender portals and bid management systems (desirable)
- A proactive and flexible approach to supporting a busy team
In return, the Bid Administrator will receive:
- £27,000 per annum
- 9am - 5pm, Monday to Friday
