Job Overview

The Holiday Coordinator is responsible for managing logistics for kidney patients who need “Dialysis Away From Base” (DAFB). This role ensures that patients can travel safely whilst continuing to receive their life-sustaining dialysis treatment.

Key Responsibilities

  • Coordinate DAFB  / Holiday Dialysis arrangements for patients travelling within the UK and internationally
  • Liaise with NHS renal units, DaVita clinics, and overseas dialysis providers to secure and confirm treatment availability at the patient’s destination Work with medical / nursing teams to ensure required clinical documentation and health screening is up to date prior to travel Act as the main point of contact for patients, carers, clinic staff, and external providers regarding holiday dialysis plans
  • Advise patients on timelines, eligibility, and requirements for arranging holiday dialysis, including NHS funding processes where applicable
  • Maintain accurate and timely records within DaVita systems
  • Monitor booking deadlines and proactively follow up to minimise the risk of treatment disruption
  • Ensure compliance with GDPR, confidentiality requirements, and organisational policies
  • Deliver excellent customer service, supporting patients with empathy, clarity, and professionalism

Person Specification

Essential:

  • Strong organisational and administrative skills
  • Excellent verbal and written communication skills
  • Ability to manage multiple patient requests simultaneously
  • Confident using IT systems and patient record systems
  • Patient-centred approach with strong attention to detail

Desirable:

  • Experience in renal services, dialysis, or healthcare administration
  • Knowledge of NHS renal pathways and holiday dialysis processes
  • Experience liaising with external healthcare providers or international services

  • Ability to work independently and as part of a multidisciplinary team
