The International Institute for Strategic Studies (IISS) is seeking a confident, energetic, and experienced Conference and Events Coordinator to work within our dynamic Conference and Events Department. The ideal candidate should be a high performing individual with excellent database skills and technical proficiency, great attention to detail and the ability to hit the ground running. They must have extensive experience of managing delegate procedures for international conferences and demonstrable event management experience.

The International Institute for Strategic Studies (IISS) is a world-leading research organisation that provides independent, objective information on military, geopolitical and geo-economic developments that could lead to conflict.
The Institute is seeking to appoint a confident, energetic, and experienced Conference and Events Coordinator to work within our dynamic Conference and Events Department.
The ideal candidate should be a high performing individual with excellent database skills and technical proficiency, great attention to detail and the ability to hit the ground running. They must have extensive experience of managing delegate procedures for international conferences and demonstrable event management experience.
Responsibilities:
- All communication with participants to include issuing invitations, monitoring and logging responses using the IISS CRM, managing telephone and email queries.
- Management of all logistical elements relating to in-house, virtual, hybrid and international events, to include sourcing venues, travel and accommodation, AV requirements, co-ordination with IT team, catering and building support services to ensure the events are delivered successfully.
- Co-ordination of a wide range of events concurrently; updating relevant monitoring documents to ensure all stakeholders and relevant staff are kept informed of progress.
- Co-ordination of event suppliers with good negotiation skills, including third party contract finalisation with hotels, event contractors, interpreters, transcribers, printers, photographers and freight companies.
- Responsibility for event budgets (draft and reconciliation) using excel spreadsheets.
- Any other tasks, not listed above, as and when required within the Events Team.
Requirements:
- Undergraduate degree in relevant subject.
- Previous events experience, preferably but not essential to include international events.
- Excellent communication and interpersonal skills.
- Ability to multi-task and a flexible approach to work.
- A keen eye for detail and great organisational skills.
- Enthusiasm and be a team player.
- Ability and willingness to travel internationally.
- Excellent proficiency in IT and databases, webinar platforms, ideally Microsoft products and Dynamics CRM.
