FULL DESCRIPTION

The main purpose of this role is to assist in the management of the day-to-day lettings and events operation to ensure delivery of excellent customer experience to Bradfield guests, representing both [Employer hidden — view at passion-project.co.uk] Limited and Bradfield College.

MAIN RESPONSIBILITIES:

  • Lead the team and take ownership of the daily tasks, ensuring they are distributed to the team and effectively delivered in a timely manner.
  • Lead the setup and reset of boarding houses and facilities for the seasonal Lettings period.
  • Verify that all maintenance work needed is recorded and completed; where required, liaise with on-site teams to resolve any issues.
  • Ensure that all house/classroom/area checks are completed and logged with supporting photos and documentation, pre and post season.
  • Manage the set-up of the campus/ events space in readiness for guests’ arrival.
  • Ensure that the guests are welcomed and looked after.
  • Make sure all facilities and areas in use are kept clean and report any maintenance issues.

Administrative duties:

  • To monitor email on shift and respond in a timely manner.
  • Proactively monitor the tasks lists, update and delegate accordingly.
  • Fire Safety: To ensure the fire drills and fire alarm management in the Boarding houses is completed by the team.
  • Damage reporting to clients and the Management Team.
  • Safeguarding: report any Safeguarding incidents to BCL Management Team
  • Resolve any breaches on the hire agreement (e.g. curfew breaking) in a professional manner and report to BCL Management.

Working pattern

Lettings hours of work are shift-based 07:00-22:00, morning and evening shifts approximately 8 hours. (Shifts should be strictly timed, and extra hours will have to be justified and authorised by BCL Management).

Events may require a different working pattern

Overnight stays may be necessary; time flexibility is essential.

SKILLS:

Communication Skills. Lettings & Events Assistant Duty Manager will be expected to communicate effectively and politely with both customers and various other members of Bradfield College in a timely fashion.

Customer Service Skills. The primary purpose of the Lettings & Events Assistant Duty Manager is to provide excellent customer service to the guests of Bradfield College. Clients’ needs are constantly changing so it’s important to effectively prioritise, be proactive and flexible.

Health and Safety. An understanding of the principles of good health and safety. The post requires monitoring and administration of H&S systems in boarding houses and ensure there are no breeches around college (e.g. smoking in wrong areas). Full training will be given.

Teamwork. In this role you will be part of a team, effective communication and collaboration with the Duty Managers, Supervisors and Lettings Assistant is essential.

Leadership. Proactive approach and strong delegation required to ensure consistency in delivery of the operation.

AVAILABILITY:

This role requires availability and commitment on the following periods.

  • 1 week prior to commencement of Easter period plus three weeks of season and (March/April) 1 week after the season. (Total = 5 weeks)
  • 2 weeks prior to commencement summer period, eight weeks throughout (End June – End August) and 1 week following the season. (Total = 11 weeks)
  • Out of term availability (ex. half terms)

EXPERIENCE:

Experience working in a management role within a customer service environment is required and a proven track record of leading a team experience would be beneficial. Working experience within a lettings and/or camp environment is essential to this role.

Full UK driver license held for minimum 2 years is essential.
