Transport Coordinator

The Transport Coordinator role involves delivering an efficient transport service by coordinating school transport contracts, liaising with drivers and parents, monitoring schedules, preparing documents, ensuring vehicle compliance, and managing operational costs. The role also includes preparing reports, resolving issues, and ensuring compliance with regulations.

Role Overview

The role of the Transport Coordinator is to deliver an efficient and user friendly transport service. This will be done by the following means:-

  • Coordinate daily school transport contracts in alignment with company and client requirements.
  • Liaise effectively with drivers, parents, and [Employer hidden — view at passion-project.co.uk] Ltd staff to ensure timely and efficient transport planning.
  • Monitor transport schedules and respond to any delays or disruptions proactively.
  • Prepare, print, sort, and collate all operational and transportation documents required for dispatch.
  • Ensure the dispatch of vehicles is timely and fully compliant with contract specifications.
  • Track and ensure vehicle compliance
  • Assist in monitoring tachograph readings, driver hours, and distance travelled, ensuring accurate records.
  • Create and present required transport reports with a high level of accuracy.
  • Maintain effective communication with stakeholders to resolve complaints and transport-related issues.
  • Contribute to managing transport operational costs within the allocated budget.
  • Debrief drivers post-shift to ensure compliance, performance, and identify any issues.
  • Ensure the transport operation meets its performance and safety targets, monitoring it and reporting to the [Employer hidden] Ltd Management.
  • Prepare reports and present options and recommendations to service users and the [Employer hidden] Ltd Management.
  • Support and facilitate the work of the [Employer hidden] Ltd Management.
  • Advise on policy and strategic developments and examine business decisions (pricing policy, level of service provision, timetable changes) to assess their impact on passengers.
  • Ensure that all operations are carried out in accordance with UK and European Union laws and regulations, and client requirements.
  • Manage and supervise staff and vehicles, organise work rotas and coordinate staff training.
  • Negotiate and manage agreements and develop new opportunities.
  • Minimise disruption and resolve any unscheduled delays, having to make decisions in difficult situations.
  • Meet service users and service operators to deal with complaints and areas of concern.
  • Analyse results of surveys on passenger/customer satisfaction and start new projects to improve performance [Employer hidden] LTD services and so encourage greater passenger use of particular routes.
  • Liaise and negotiate with different stakeholders including planning and highways authorities, residents, councillors/politicians, developers, transport providers and transport commissioners.
  • Identify existing and possible future transport problems.
  • Maintain a knowledge of the community transport sector and liaise with passenger watchdogs and other professional bodies.
  • Set high expectations, evaluating service delivery and reporting to the [Employer hidden] Ltd Management.
  • Seek best value in all agreements.
  • Encourage and support staff recruitment.
  • Sustain own motivation and professional development.
  • Maintain required records, support and help to develop policies and procedures.
  • Monitor and maintain a healthy, safe and secure working environment, including undertaking or the up-dating of risk assessments for each activity as necessary.
  • Provide written and verbal reports as well as statistical and monitoring information.
  • Oversee day to day and regular maintenance of all vehicles.
  • Work flexible hours, as agreed in advance.
