We're looking for a highly organised and detail‑focused Key Document Coordinator to support the Key Document Lead and the wider Asset Information Management (AIM) team in managing and improving our Site Key Documents (SKD) platform.
What you'll do
Working with the Key Document Lead, you'll play a vital role in ensuring our key documents are maintained to a high standard and remain useful to teams across YTL UK.
Your responsibilities will include:
- Supporting the day‑to‑day management of the Site Key Documents SharePoint platform, including permissions, access, structure, and data quality
- Helping integrate new document sets onto the platform by investigating where existing materials are held, supporting document owners, and ensuring agreed onboarding and update processes are followed
- Supporting the Scheme Takeover process, ensuring new project documentation is captured, validated, and stored correctly for future use
- Monitoring expiring or expired documents using reporting tools and working with document owners to keep content current and accurate
- Liaising with IT to support document imports and explore opportunities to improve systems, processes, and automation
- Acting as a point of contact for colleagues across the business by providing guidance on navigating Site Key Documents and applying best‑practice document management
- Supporting the Key Document Lead with updates, reporting, and coordination of Working Group activities and improvement initiatives
What you'll need
You'll be someone who enjoys organising information, working with a range of stakeholders, and helping improve how documentation is managed and used.
You'll bring:
- Confidence using Microsoft Office applications, including SharePoint, along with Excel, PowerPoint and Visio
- Strong communication skills and the ability to work effectively with multiple teams across the organisation — often with different priorities
- Excellent attention to detail and the ability to coordinate and manage multiple tasks at the same time
- The ability to work both independently and collaboratively
- A proactive, improvement‑focused mindset and a willingness to support the adoption of good documentation practices across the business
This is an office-based role in our Operations Centre. However, once you are able to work independently, there are flexible working options are available up to a maximum of two days per week at home.
