It includes a number of successful existing business operations: UAL Short Courses Ltd, UAL Awarding Body, Language Centre and UAL’s Study Abroad programme. Over the next year Academic Enterprise will be adding new businesses focusing on widening our offer to children through both UAL Short Courses Ltd and the [Employer hidden] and supplying our students and graduates as temps to creative businesses in the UK through a new venture, UAL ArtsTemps Ltd.

What is the purpose of the role? Reporting to the Senior Quality Assurance and EnhancementOfficer, the Quality Assurance & Enhancement (QAE)Administrator is responsible for administering and coordinating the administration of the team. The QAE team is responsible for quality assuring UAL regulated qualifications, managing the regulatory compliance of the awarding body,managingstage 2 of theUALAwarding Body centre approvals processand monitoring centres based on risk.

Duties and Responsibilities

Administration

  • To organise, attend and contribute to internal and external meetings including: Booking rooms, issuing invitations,taking accurate minutes, and ensuring details are communicated in a timely manner.
  • To provide administrative support to the QAE management team and QAE Officers.
  • To attend, support and contribute to at [Employer hidden] conferences and events.
  • To support and contribute to the preparation of information required for internal and external audits.
  • Assist with the collection and submission of regulatory data.
  • Ensure QAE team documentation is stored in an efficient and accessible manner.

Update the QAE planner ensuring it remains current, accurate and accessible. Process POs, invoicesand record financial information for the QAE team. Assisting with monitoring team workflow tracking Support QAE team filing system

Customer service and relationship management

  • To provide a first-class customer focussed service to approved centres, staff and students.
  • To develop and maintain good working relationships with regulators, centre staff and external suppliers.
  • To support preparationforthe annual conference for centre quality and exams office staff.
  • Collaborate with teams across [Employer hidden] to ensure QAE team administration is progressed.

Regulation

  • Support the QAE managementwiththepreparation and delivery of audits by qualification regulators
  • Support with the collation and quality assurance of data returns for the qualification regulators
  • Support with the annual Statement of Compliance
  • To develop and maintain a current working knowledge of [Employer hidden] qualificationsand regulatory requirements

PERSON SPECIFICATION

Has received formal training or education at post 16 level.

Specialist Knowledge/Qualifications

Relevant Experience Experience providing high quality administrative support within a busy team

Administration at an awarding organisationor within an education settingis desirable

Maintaining databases and record systems to a high standard

Strong MS Office skills particularly in Excel, Word, Outlook and PowerPoint

Is ableto communicate clearly, concisely, unambiguously and professionally both orally and in writing.

Is able to communicate with internal colleagues and external customers at different levels of seniority appropriately, providing outstanding customer service.

Experienced minute taker for both formal and informal meetings

Excellent organisational skillsand time management
