FULL DESCRIPTION
Events & Projects Administrator
The Events Administrator will provide administrative support to the Student Experience Manager and Student Experience team primarily based across halls of residences. The post holder will assist the administration of the UK’s leading student events programme including; planning staff rotas, credit card administration, processing expense claims, procuring event supplies, recording asset inventory’s, monitoring joint inboxes, answering telephone calls and assisting with long-term projects.
Duties and responsibilities
- To collaborate with the Student Experience Manager, Events Officer and Marketing Officer in the planning and delivery of the events programme.
- To take sole responsibility for the Student Rep rota management system, scheduling working hours, approving annual leave and dealing with shift move requests.
- To coordinate all Student Rep financial expenses and process in a timely manner.
- To oversee asset management system (Sortly) ensuring that all assets / equipment are accurately record and maintained to the highest standards.
- To support the Student Experience Manager with meeting requests, credit card administration and processing of team expenses.
- Liaise with suppliers, both within the university and externally, booking venues, ordering catering, AV equipment and other event supplies as necessary.
- To provide a high standard of customer service, dealing with customer enquiries and information requests through multiple contact methods including; email, telephone, web and social media.
- Knowledge and understanding of the events booking software (Eventbrite) to administer events effectively.
- To maintain effective filling and archiving systems with particular regard to data protection and audit requirements.
- Manage consumables required to support events and student experience team through asset inventory system.
- To undertake mail sorting, franking and delivery duties to meet user requirements including distributing mail within and between multiple local properties where required.
- To process all incoming and outgoing deliveries including the recording and safe porterage of all non-specialist items within and between designated properties, ensuring that deliveries are accepted in accordance with published procedures and stakeholder requirements.
- Occasionally work events to cover events team which may be out of hours including both evenings and weekends.
- To perform such duties consistent with your role as may from time to time be assigned to you anywhere within the University.
- To undertake health and safety duties and responsibilities appropriate to the role.
