Purpose of the Role

The Bid Manager will play a pivotal role in driving business growth by managing and delivering high-quality tender responses across RFI, RFP and ITT opportunities. This role focuses on translating business capabilities into compelling, persuasive proposals that clearly communicate the organisation’s strengths and expertise. Working cross-functionally with teams across the business, the Bid Manager will coordinate information, manage timelines and ensure each submission meets the highest standards of quality, compliance and professionalism.

Key Responsibilities

  • Lead end-to-end management of RFI, RFP and ITT responses, ensuring submissions are accurate, compelling and delivered on time.
  • Work closely with Business Development teams to understand client requirements and shape winning proposal strategies.
  • Translate complex technical, operational and commercial information into clear, persuasive proposals.
  • Ensure every bid effectively communicates the organisation’s value proposition, expertise and competitive differentiators.

Stakeholder Coordination

  • Collaborate with cross-functional teams including sales, product, compliance, legal, finance and operations to gather content and insights.
  • Coordinate contributions from multiple departments to create cohesive, high-quality submissions.
  • Present proposals and recommendations to senior stakeholders to gain alignment on strategy and messaging.

Pipeline & Opportunity Management

  • Identify, manage and prioritise multiple bid opportunities simultaneously.
  • Maintain an organised and structured pipeline of opportunities, ensuring deadlines and deliverables are consistently met.
  • Track historic opportunities and analyse lost bids to improve future success and potentially re-engage with previous tenders.

Continuous Improvement & Innovation

  • Champion the use of technology and AI tools to improve efficiency and effectiveness across the bid process.
  • Analyse win/loss outcomes to identify themes, insights and opportunities for improving future submissions.
  • Monitor competitor positioning and market trends to strengthen proposal strategies.

Content Development & Knowledge Management

  • Develop and maintain a central knowledge base of high-quality bid responses and supporting content.
  • Ensure proposal materials remain accurate, up to date and aligned with brand messaging and organisational values.
  • Support the continuous improvement of templates, processes and governance frameworks across the bid function.

Qualifications & Experience

Extensive bid management experience with a proven track record managing end-to-end RFI/RFP/ITT processes for high-value opportunities.

  • Exceptional written communication skills with the ability to craft compelling, client-focused proposals.
  • Advanced project management skills, coordinating cross-functional teams across multiple concurrent bids.
  • Experience using bid management platforms, CRM systems or AI-driven proposal tools.
