We are seeking a motivated and organised General Practice Assistant (GPA) to join our friendly and supportive GP practice team. This is an administrative role (full-time or part-time considered) designed to support GPs and the wider clinical team by managing clinical correspondence, patient records, and day-to-day workflow tasks, helping to improve efficiency and patient care.
Job summary

The successful candidate will have previous experience working in a GP practice or healthcare administrative setting, with a strong understanding of primary care processes. Experience using SystmOne or EMIS (clinical systems) is essential and will only be considered as part of the shortlisting criteria.
Main duties of the job
The General Practice Assistant (GPA) will support the clinical and administrative teams in the smooth day-to-day running of the practice. This includes handling routine administrative tasks, supporting patient care processes, and helping ensure information is accurately recorded and appropriately managed within the practice systems.
The role also involves assisting with the organisation of clinical workflow, supporting communication between patients and the practice, and contributing to efficient and effective service delivery across the team.

Job description
Job responsibilities
- Manage and process incoming clinical correspondence in a timely manner
- Extract and input relevant information from clinical documents with a high level of accuracy
- Support the organisation of GP administrative workload and day-to-day tasks
- Process patient registrations, deductions, and record maintenance accurately on the clinical system
- Book, cancel, and amend patient appointments using the clinical system
- Handle incoming telephone calls, providing professional customer service and directing queries appropriately
- Support the management of referrals, including processing and tracking through the clinical system (eRS)
- Invite and recall patients for routine checks, health reviews, and administrative follow-ups
- Assist with private and non-NHS work, including insurance forms and private medical reports
- Respond to routine patient administrative queries in a professional and timely manner
- Use clinical systems such as SystmOne or EMIS, along with communication tools such as AccuRx
- Carry out general administrative duties including scanning, filing, document management, and maintaining records
- Support data entry, coding, and maintenance of patient information within the clinical system
- Assist with any additional administrative tasks required to support the smooth running of the practice
Person Specification
Experience
Essential
Minimum 6 months to 1 year of experience working in a GP practice or a similar setup
Qualifications
Essential
SystmOne or EMIS trained
Excellent communication skills
Worked previously in a GP or similar setup
Ability to maintain confidentiality of sensitive information
Basic IT skills, MS Excel and MS Office
