Travel Office Coordinator

[Employer hidden — view at passion-project.co.uk] is looking for a Group Travel Office professional to take the lead in coordinating complex, high-volume travel logistics for our Race and Business teams. This is your chance to bring your expertise to one of the most iconic names in Formula One, where every journey is as critical as the race itself.

Key Responsibilities

  • Oversee the full lifecycle of group travel logistics for Race and Business teams, including flights, accommodation, ground transport, and visa arrangements.
  • Collaborate with internal departments to understand travel needs and align plans with operational schedules.
  • Source and negotiate competitive travel options while ensuring compliance with company policies and budget guidelines.
  • Manage detailed travel manifests, including passport and visa data, hotel rooming lists, and special requirements.
  • Create and maintain accurate, real-time itineraries for multiple international events, often with last-minute changes.
  • Support the development and enhancement of [Employer hidden]’s travel tools and mobile applications.
  • Ensure all traveller data is current and compliant with data protection standards.
  • Handle post-event reconciliation, including invoice consolidation, cost tracking, and reporting.
  • Provide on-call support during race weekends and key events, including evenings, weekends, and bank holidays.

What We’re Looking For

  • Demonstrated experience in managing complex group travel, ideally in a fast-moving, international, or sports-related environment.
  • Strong negotiation skills and familiarity with working alongside travel management companies, airlines, and accommodation providers.
  • Exceptional attention to detail and the ability to manage multiple priorities under pressure.
  • Calm, solutions-focused mindset with excellent problem-solving and crisis management skills.
  • A proactive and collaborative team player with outstanding interpersonal and communication abilities.
  • Technologically confident, with experience using travel booking systems, itinerary tools, and Microsoft Office Suite.
  • Willingness to work flexibly, including outside standard office hours, to meet the demands of the racing calendar.
