FULL DESCRIPTION
This role exists to directly support the CEO, with diary management provided for the CFO. It operates as a trusted executive partner to the CEO, with a high degree of autonomy, judgement and discretion, owning end to end diary and travel management, controlled access to the CEO inbox, and proactive management of the CEO’s priorities.
What you will be doing:
- Own complex and fast-moving diary management for the CEO, and diary support for the CFO, making informed decisions on priorities and trade-offs without constant referral.
- Manage all travel, accommodation and expense activity for the CEO with precision and foresight.
- Manage and prioritise incoming requests for the CEO, ensuring timely responses, effective follow through, and the confidence to challenge or push back when necessary
- Act as the first point of contact for CEO related external queries, building trusted relationships and representing the CEO with confidence, judgement and discretion in senior environments.
- Support the CEO’s LinkedIn, Instagram and TikTok presence, coordinating creative content, scheduling activity and supporting engagement.
- Maintain and manage CRM data linked to CEO activity, relationships and events.
- Plan and deliver end to end logistics for key CEO engagement moments and events, including ownership of the AmpaSand Club.
- Coordinate photography and content capture at [Employer hidden — view at passion-project.co.uk] Assembly, events and leadership moments to support internal engagement and external storytelling.
- Support internal culture and recognition activity, including Assembly logistics, [Employer hidden] Stars reward coordination for Group CEO.
- Prepare briefing materials, presentations and papers to support the CEO ahead of meetings and events, anticipating questions, risks and areas of focus.
- Maintain a clear and disciplined task list, chasing inputs, tracking actions and ensuring deadlines are met in a fast paced and frequently changing environment.
- Bring energy, ideas and a practical mindset, stepping in to solve problems and make things happen.
- Regular travel to office hubs to support the CEO for in person meetings and at events.
What you will need:
- Excellent communication skills, both verbal and written with gravitas to operate credibly at the most senior levels.
- Ability to maintain the highest levels of confidentiality, diplomacy and discretion, operating comfortably with sensitive and commercially critical information.
- Strong work ethic, thorough and exceptionally well organised
- Ability to work well under pressure and deal efficiently with demanding workloads, while remaining calm, authoritative and solutions focused.
- An intelligent, forward-thinking approach, able to pre-empt potential problems and consider solutions before issues escalate.
- Proficiency in using MS Office packages
- Significant experience supporting a CEO within a complex organisation, with a strong track record of operating independently and exercising sound judgement. A minimum of seven years at this level is expected.
