Job Responsibilities

• Provide professional, accurate, and reliable PA and administrative support to senior leaders • Support the wider business unit with administrative tasks as required • Coordinate and oversee team assistants to ensure an efficient admin support function • Manage complex diaries, schedules, and itineraries • Prepare weekly meeting packs and supporting documentation • Organise and maintain document management systems and filing structures • Record and produce minutes for key meetings • Maintain up-to-date contact lists and team records • Arrange meetings, travel, accommodation, and logistics (including vehicles and hospitality) • Support reporting activities, including preparation of presentations, statistics, and documentation • Use internal systems to manage data, records, and administrative processes • Liaise with Finance to support invoice processing and cost tracking • Handle enquiries from internal and external stakeholders professionally • Maintain confidentiality of sensitive information at all times • Track training and induction records and liaise with HR where required

Qualifications

Previous PA/Document Controller experience

Experience

• Strong organisational and administrative skills with a methodical approach • Ability to work independently, proactively, and manage multiple priorities • Excellent communication and interpersonal skills across all levels • High level of discretion and confidentiality • Strong attention to detail • Previous experience in a PA or team support role • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) • Ability to handle challenging or sensitive enquiries effectively
