Job summary

As a Beauty Product Compliance Executive in the health and wellness sector, you will report directly to the Head of Operations and work closely with the head of new product development, the marketing team, the CEO and Operations teams. Your primary responsibilities include ensuring global beauty product compliance and driving sustainability initiatives across the [Employer hidden — view at passion-project.co.uk] and Bare Feet & Hand brands. You will liaise with the company’s UK based product manufacturers to ensure product compatibility and stability, and written packaging compliance, including claims.

About the position

Your responsibilities and the qualities we're looking for.

  • Critical Path Management: Take ownership of the process after the initial brief or concept is finalised, driving projects through to production. Ensure fast-paced projects are delivered on time by effectively managing critical paths, meeting all deadlines, and achieving key deliverables.
  • Market Research: Conduct competitive analysis and source innovative component ideas to ensure products are market-relevant and aligned with industry trends.
  • Product Standards: Ensure finished goods meet required specifications (e.g., liquid formulations) and confirm manufacturers adhere to established standards and sampling guidelines.
  • Existing Formulations: Work with manufacturers quarterly to confirm compliance with international cosmetic regulations while upholding quality and innovation. Develop a consistent process to maintain regulatory compliance.
  • Team Collaboration: Partner with Marketing and Sales teams to coordinate project timelines. Ensure Marketing is informed about deadlines for material preparation and Sales is equipped for seamless product launches.
  • Compliance Queries: Act as the main point of contact for all compliance-related inquiries, ensuring thorough and timely responses with CEO approval when needed.
  • International Registrations: Manage international cosmetic portal registrations and renewals, implementing systems to trigger alerts and prevent unregistered products.
  • Product Information Files (PIFs): Ensure all PIFs meet regulatory standards. Establish clear processes for obtaining compliant PIFs from manufacturers.
  • Governance and Audits: Liaise with manufacturers to meet regulatory, governance, and audit standards.
  • Efficacy Tests & Claims: Lead testing, Source quotes and suppliers for efficacy testing. Collaborate on claims development to enhance marketability while ensuring compliance with regulations.
  • Sustainability Initiatives: Drive sustainability efforts across all channels, promoting environmentally responsible practices in sourcing, development, and operations.
  • Leaping Bunny Certification: Oversee the certification process, ensuring accurate documentation and compliance for successful certification.

Our requirements

You will need to meet these requirements to be eligible for the position.

  • A minimum of 5 years work experience, with at least 2 years’ experience within a similar role in the cosmetics/skincare industry.
  • Background in cosmetic science will be helpful.
  • Experience in critical path management for new product development.
  • Experience in beauty compliance roles.
  • Knowledge of registration requirements overseas.
  • Strong organisational skills, setting clear deadlines and ability to multitask.
  • Ability to thrive in a fast paced, evolving environment.
  • Proficiency in the use of MS Word/Excel.
  • Excellent verbal and written communication skills.
  • Excellent attention to detail.
  • Excellent research skills.
