FULL DESCRIPTION
Our client, a cutting-edge creative Social Media heavyweight, is searching for a Personal Assistant to their CEO. This role will provide high-level executive and personal support within a fast-paced creative environment.
Key Responsibilities include
- Full management of the CEO’s complex and frequently changing diary across multiple time zones
- Acting as the main liaison between the CEO, senior leadership and external partners to streamline communication and ensure alignment across all priorities
- Managing the CEO’s inbox - scanning emails, flagging priorities, and maintaining clear communication flow
- Preparing briefing notes, research and follow-up communications for high-level meetings and client sessions
- Managing confidential correspondence, NDAs and sensitive documents with absolute discretion
Operational & Strategic Coordination
- Partnering with internal departments and external Stakeholders to coordinate meetings, projects and deliverables
- Supporting strategic planning sessions, off-sites and executive meetings - including agenda design, logistics, and action tracking
- Managing ad hoc projects and initiatives on behalf of the CEO, often involving multiple teams and tight deadlines
Travel & Events
- Planning and managing extensive international travel itineraries (US, Europe, Asia), including flights, accommodation, transport and on-site logistics
- Supporting the CEO’s participation at key industry events, panels, and award shows, ensuring seamless coordination with hosts, PR, and production partners
- Occasionally providing real-time remote support during travel to manage last-minute changes and communications where required
Personal Support
- Providing personal assistance across professional and private matters, including diary coordination and ad hoc requests
- Liaising with external contacts such as management, family and other stakeholders to ensure smooth day-to-day operations
Skills & Attributes required
- Highly organised, proactive, and resourceful with exceptional attention to detail
- Skilled in managing and prioritising multiple moving parts in a fast-paced environment
- Excellent at using initiative and anticipating needs before they arise
- Calm under pressure, adaptable, and solution-oriented
- Strong interpersonal and written communication skills
- Trusted to handle confidential information with professionalism and sensitivity
- Confident with modern productivity tools.
- Interest in digital media, production, and entertainment is a plus
- Driving license required
- Experience in a small company / start up desired
