Timetabling Assistant

We are seeking a highly organised and proactive Timetabling Assistant to support the effective planning and coordination of timetables within an alternative education provision. This role is central to ensuring that vulnerable and disengaged young people receive structured, consistent, and appropriate educational programmes. This is a varied, detail-oriented role that plays a vital part in ensuring young people receive a smooth and well-structured educational experience.

We are looking for someone who is highly organised, confident in communicating with others, and able to manage multiple priorities with accuracy, professionalism, and care.

Working as part of a supportive administrative team, you will liaise with tutors, students, and external stakeholders to maintain accurate timetabling information and respond to changes efficiently.

This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and is committed to delivering a high-quality, young-person-focused service.

Key Responsibilities

  • · Support timetabling across the Education Service and support the smooth running of the service
  • · Update and monitor timetable changes in response to student needs, attendance, and placements
  • · Maintain accurate student and timetable data across internal systems
  • · Communicate effectively with tutors, support teams, and external agencies
  • · Assist with allocations, and resolving timetable clashes
  • · Handle sensitive student information in line with safeguarding and data protection requirements

You will also have:

  • · Confidence working with data, spreadsheets, and scheduling systems

  • · The ability to manage competing priorities and meet deadlines
  • · Experience in an administrative role (education or similar setting desirable)

You’ll bring:

Essential:

  • · GCSEs or equivalent in English and Maths – ensures strong literacy and numeracy skills
  • · NVQ Level 2 or equivalent in administration / office skills (or demonstrable experience in a similar role)

Desirable:

  • · Level 3 in Business Administration / Education Administration / Office Management
  • · Training in data management, timetabling software, or MIS systems
  • · Any safeguarding or child protection training

Working Pattern:

  • - 40 hours per week – 8:30am to 5:00pm (8:00am to 4:30pm on Fridays)
  • - Working 52 weeks per year

Salary: £28,300.00 per annum
