Clinical Services Administrator

[Employer hidden — view at passion-project.co.uk] is seeking an organised, proactive and personable Clinical Services Administrator to support the day-to-day running of our clinical services, with a strong focus on consultant support and clinic coordination.

Main Duties & Responsibilities

We are looking for someone who is passionate about maintaining the high standard of patient care and experience at [Employer hidden]. The successful post holder will be responsible for:

Consultant Support

  • Work closely with consultants to coordinate their clinic diaries and appointment schedules
  • Act as a key point of contact for patients and consultants regarding patient bookings, follow-ups, and clinic needs
  • Ensure smooth running of consultant sessions, including preparation of clinic rooms and materials
  • Send referrals to third-party providers (e.g. imaging centres or pathology labs) and monitor progress
  • Liaise with the clinical team to ensure results are tracked, followed up, and sent to the appropriate parties in a timely manner
  • Support internal communication and care coordination between multidisciplinary teams

Patient Administration

  • Welcome patients and visitors to the clinic in a professional and friendly manner
  • Manage patient bookings, cancellations, and enquiries via phone, email, and in person
  • Maintain accurate, confidential patient records in accordance with GDPR and clinic policies
  • Assist patients with queries relating to their care pathway or upcoming appointments

Clinic Operations

  • Perform regular stock checks for medical supplies, consumables, and equipment
  • Monitor and order clinical stock, including medications, to ensure availability and compliance
  • Oversee safe handling, recording, and reconciliation of any drugs stored onsite
  • Maintain a clean, organised and safe clinical environment, supporting CQC and internal standards
  • Support with daily opening and closing procedures and general clinic upkeep

Finance and Systems

  • Process patient payments and issue invoices and receipts
  • Assist with reconciliation of daily takings and financial queries
  • Liaise with the Finance team when required

Essential Skills

Essential:

  • Previous experience in a healthcare administration, clinical receptionist, or medical secretary role
  • Excellent interpersonal and communication skills, both written and verbal
  • High attention to detail and strong organisational skills
  • Ability to manage multiple tasks and work calmly under pressure
  • Confident using Microsoft Office and able to learn new systems quickly
  • Professional, approachable, and team-oriented attitude

Desirable:

  • Experience supporting consultants or clinicians in a private healthcare setting
  • Familiarity with stock control or drug inventory procedures
  • Understanding of clinical environments and care delivery pathways
