Job Details & Requirements

As a patient coordinator – booking team employee, you will be expected to work mainly on the telephones via Inbound & Outbound calls speaking to customers, handling enquiries, arranging appointments and more. Customer service is key, along with hard work and an ability to multi-task

Key Qualities

  • Strong organisational and planning skills
  • Excellent interpersonal & customer service skills
  • Computer literate with good working knowledge of all MS Office (Word, Excel & Outlook)
  • Excellent communication skills (written & verbal)
  • Ability to follow procedure and be a team player
  • Problem solver, with ability to think out of the box
  • Experience in sensitive data management and complaints handling
  • Proven track record in a similar role (outbound bookings/sales)

Responsibilities

  • Efficiently book appointments, logging all enquiries and conversions on [Employer hidden]’s CRM system and medical management software systems
  • Deal with all enquiries professionally, proactively and in a timely manner (specifically: telephone, online, walk-in, 3rd party enquiries, including internal and external referrals)
  • Develop and maintain a comprehensive understanding and knowledge base of all products & services (including pricing), clinical staff (including GPs and consultants) such that patients are fully aware of what [Employer hidden] can offer – this includes cross/up selling of services to patients
  • Coordinate and schedule appointments and follow-up appointments as designated by physicians
  • Deliver 5-star customer service to all clients, including VIP clients such as premiership footballers, media stars and influencers
  • Obtain and manage all radiographer / consultant / surgeon / doctor requests in a timely and efficient manner.
  • Effectively communicate with patients, physicians and other staff - within the PMM Clinics & external facilities - providing accurate, timely, and responsive information
  • Coordinate processes and complete all paperwork as required to meet physician and facility requirements.
  • Demonstrate courtesy, empathy and helpfulness toward patients and their families
  • Liaise with radiographers to ensure clinics are staffed appropriately
  • Various other tasks as required to be necessary for the needs of the business.

Clinical Governance

  • Ensure compliance with policies, procedures and clinical guidelines for self and others
  • Continually monitor standards of care and contribute to improvement of care, through benchmarking, audit and research.
  • Communicate effectively and share best practice with the multidisciplinary team & others
  • To be aware of duties and responsibilities in relation to clinical risk management
