To provide comprehensive administrative and coordination support to the Safety, Health, Environment and Compliance (SHE) team, ensuring effective reporting, monitoring, communication, and compliance across [Employer hidden].

Job requirements

Essential

  • Computer literate with strong skills in Microsoft Word, Excel and PowerPoint
  • Experience using data entry systems (e.g. Procore)
  • Excellent written and verbal communication skills
  • Strong organisational and coordination skills
  • Ability to work independently and as part of a team
  • Accurate data entry and record-keeping skills
  • Ability to prioritise and manage multiple tasks

Desirable

  • Knowledge of or interest in Safety, Health & Environment practices
  • Experience in a construction or compliance-focused environment
  • Experience supporting audits or compliance reporting

Job responsibilities

Accident & Incident Management

  • Coordinate the administration of accident and incident recording and investigations
  • Liaise with insurers where required
  • Produce accident and near-miss analysis reports and statistical graphs
  • Maintain accurate and up-to-date incident records

Audit, Inspection & Monitoring

  • Collate inspection data from managers, foremen and the SHE team
  • Assist with the coordination of inspection programmes
  • Prepare audit documentation and write up audit findings
  • Produce inspection and monitoring analysis reports and graphical data
  • Support compliance tracking and follow-up actions

Reporting & Record Keeping

  • Support the production of weekly, monthly and quarterly SHE reports
  • Take meeting minutes as required
  • Maintain and manage documentation on Google Drive and Procore
  • Produce and track action plans
  • Review, record and analyse subcontractor documentation and performance
  • Ensure accurate electronic and hard-copy filing systems

Training & Awareness

  • Assist with booking and coordinating SHE training courses and monthly inductions
  • Support development of toolbox talks and presentation materials
  • Issue toolbox talks and supporting documentation/posters
  • Source training and promotional materials (e.g. posters, digital resources)
  • Attend relevant SHE training courses as required

Systems & Software

  • Lead on administration and coordination of Breadcrumb software
  • Support site teams with system-related issues
  • Liaise with relevant internal and external stakeholders regarding system use

General Administration

  • Provide day-to-day administrative support to the SHE team
  • Coordinate team diaries and email communications where required
  • Lead coordination of awards, licences, certifications and events
  • Undertake photocopying, filing and accurate data entry
  • Support company efficiency through additional duties as required
  • Participate in performance reviews and relevant development training
  • Travel to meetings, training courses and events as required
