[Employer hidden] Ltd specializes in the trade of ferrous scrap and raw materials for the steel industry. Our main products include shredded steel scrap, HMS, and ferro alloys such as silicon manganese, ferro manganese, and ferro silicon. We export primarily in containers from countries around the world to various international destinations. Our global presence and industry expertise make us a trusted partner in the steel trade sector.
This is a full-time, on-site role for an Operations Executive at our office in Bromley. The Operations Manager will be responsible for overseeing the below areas. This oversight will also include considerable time actually doing the work themselves and handling their own orders. This includes a variety of support tasks to assist the day-to-day activities comprising of but not limited to communicating with customers, preparing and processing trade documents, performing basic data entry and basic bookkeeping tasks in the company systems.
The operations manager will support the following strategic objectives of the company:
- To improve efficiencies and automations such that the company can handle a larger volume of business without the requirement for additional staff
- To establish and operate systems and processes for the administration of the business such that the business volumes can be easily scaled up.
- To enable the business to act as an outsourced administration hub for trades done by other trading companies
- To free up time for the trader to trade
ORDER MANAGEMENT
- Sales and purchase contracts are entered into the company’s system and contracts are issued in line with order confirmations and sent to customers/suppliers in a timely manner
- Handle allocations of purchases and shipments to sales in consultation with the trader.
- Customer and supplier communications for order execution (responding and handling correspondence about the terms and conditions; post-shipment queries)
- Maintain the company order book updated with order/LC/Shipment status
- Prepare post-calculation once the order is completed
- Following up on Agents’ commissions and payments
LC MANAGEMENT AND DOCUMENTATION
- Obtaining workable LC under the sales orders and requesting amendments to make it workable, if necessary
- Assignments of Proceeds
- Documentation preparation for submission under LC- Following up on payment and discrepancies, if any found
- Bill of Lading preparation
- Submitting documents for bank financing against export LC
- Preparing any documents required outside the LC
LOGISTICS
- Shipment execution i.e. booking of containers and follow up vessel updates to ensure timely shipment in line with the latest shipment date agreed in the contract and LC
- Monitoring and managing warehouse stock positions
- Organising loading and inspection of material
- Coordinating between suppliers, forwarder and inspector during the loading
- Submitting loading documents to the forwarder for customs clearance and BL issuance
BOOKKEEPING
- Entering bills, invoices, credit/debit notes.
TREASURY
- Submitting payments under bank facility for payments
- Keep track of exposure under bank facility
REQUIREMENTS
- Proven experience in operations management or a similar leadership role
- Strong analytical skills with proficiency in data analysis and reporting tools
- Good customer service skills
- Attention to details
- Adaptability to work in a dynamic rapidly changing environment
- Ability to prioritize
- Sound knowledge of documentary credits is essential
- Sound knowledge of EXCEL is essential
- Good knowledge of other MS Office products (WORD, PowerPoint etc)
- Experience with containerized shipments
- A proactive approach with strong leadership qualities and a focus on continuous improvement.
